Under minimum supervision, performs office management of moderate difficulty for an

academic department chair and faculty as assigned. Responsibilities include, but are not limited

to, preparing correspondence, filing, tracking budget expenses for multiple accounts each with

multiple funds; creating requisitions, ordering and managing supplies, proofreading documents,

scheduling appointments, managing undergraduate and graduate student worker payroll;

reviewing grades, curriculum requirements, or graduation lists; course scheduling input; process work requests related to departmental functioning and events; and specialized work unique or specific to biology.

Typical Duties/Job Duties

  • Customer Service
  • Greets students, faculty, general public in professional and courteous manner, whether in person or over the phone; routes calls, takes messages; assists office visitors with questions or problems and directing them to appropriate areas if necessary; assist in using a copier for reproducing exams and important documents; operate a variety of office equipment, and arranges for maintenance as needed; assumes responsibility for campus mail, U.S. mail, and departmental mail; creating and updating the digital display boards for the department; and communicates with faculty, staff, students, visitors, and others in the course of performing works or coordinating tasks as appropriate.
  • Purchasing
  • Place orders for items used for lecture, labs, and research, and if needed, create requisitions via University electronic accounting system; confirms delivery of items; assists in maintaining department supply inventories; assists in maintaining repair and maintenance contracts for large equipment in the department, which can include scheduling visits with the companies; arrange for facilities assistance when needed.
  • Accounting of Various Budgets
  • Create and maintain spreadsheets for various accounts; track encumbrances and travel expenditures, as well as ProCard purchases; prepares and maintains departmental ProCard expenditures; prepares estimate of expenditures required for student workers, faculty budgets, and grant accounts each semester, and monitors associated budget balances.
  • Class and Room Schedules
  • Enter Class Schedules in Banner; under the supervision of the department chair, adjust class schedules, section limits, professor assignments, rooms, and times as needed; assist in scheduling rooms for student and faculty activities in the department; help students with registration errors and provide course overrides when necessary.
  • Employee Management
  • Assist in on-boarding of new employees (students, staff, faculty); work with the department chair and faculty in making student worker assignments; monitor student time and approve their time sheets; supervise student workers assigned to them.
  • Performs other duties as assigned by the Department Chair.

Knowledge, Skills and Abilities

  • Knowledge of secretarial, clerical, and general office procedures and practices;

  • Knowledge of Microsoft Office and other work related software;

  • Ability to perform basic mathematical calculations;

  • Ability to balance accounts;

  • Ability to type 45-50 WPM;

  • Ability to organize and complete tasks in an accurate and timely manner;

  • Ability to operate a variety of office equipment;

  • Ability to perform work requiring accuracy and attention to detail, and to perform those tasks with frequent interruptions and minimum supervision;

  • Skilled in written and oral communication;

  • Skilled in interpersonal relations.

Minimum Qualifications

A high school diploma or GED certificate is required. Two years of experience as an administrative, executive, or departmental secretary of comparable level.

Preferred Qualifications Physical Requirements

Position requires prolonged periods of sitting occasional walking, and intermittent bending and standing. Medium level of manual dexterity is required, occasional lifting up to 15 pounds.
