We are looking for a junior level Office Coordinator for one of our top clients, a strategic entertainment marketing consultancy headquartered in New York City with offices around the world that helps Fortune 500 brands and their advertising agencies identify and secure the best fit of popular music, celebrity talent, and/or intellectual property for their advertising, marketing, and PR campaigns.

At this role, you will be the first voice of our company, you are responsible for setting the tone for all office business.

The ideal candidate will be strong, confident, ''take charge'' individual who doesn-t get flustered when faced with challenges, no matter how big or small.

REQUIREMENTS:

  • 1+ year of administrative experience is required.

  • Must be reasonably computer-savvy with Windows and MAC operating systems, Microsoft Word, Excel, Outlook, PowerPoint is essential, iTunes and Internet researching tools, as well as basic troubleshooting abilities. Photoshop, Illustration, HTML and other web design skills are a plus!

  • Thorough, organized, detail-oriented, seasoned multi-tasker with a keen ability to prioritize.

RESPONSIBILITIES

  • Answer phones and greet guests

  • Manage IT internally and interface with external IT team, making sure that all IT problems are timely and successfully addressed.

  • Handle and negotiate vendor relationships

  • Manage company website

  • Maintain and direct scheduling of all office business

  • Conduct brand and business development research as needed

  • Hire and manage interns when applicable.

  • Oversee all office maintenance and purchase of office supplies as well as personally assist the CEO.

Events * Work directly with Director of Special Relations and Events * Assist with New York Fashion Week shows as needed as well as all PR events, assist with Retail Events when and if needed * Coordinate with global teams on public relation matters/ requests as needed (Paris, Germany, Mexico, Brazil, Canada, London, China) VIP Requests * Assist / Manage all VIP/ Celebrity requests. * Actively pitch stylists for VIP placement opportunities. * Assist with VIP and celebrity fittings, as well as VIP attendance for all events (cars, HMU, gifts, travel etc.). * Organize timely returns of all VIP samples at photoshoots or fittings and maintain clear and organized inventory of all VIP collections. * Manage VIP send outs/shipments/messengers (IBC/ FedEx/courier service). * Manage VIP gifting. * Prepare international shipments/ Proforma Invoices for all VIP shipments. * Manage and track VIP budget. Utilize budget to exercise strategic decisions in partnership with management. Store Pulls * Coordinate all VIP and non-editorial US Store pulls/ returns. * Assist VIP Stylists with store and showroom pulls. * Work with store managers to get appropriate book out paperwork and at end of month code invoices appropriately. Reporting / Organization * Update US and Global editorial status reports monthly. * Keep record of all US Magazine credits. * Update VIP / press contacts. * Maintain social calendar for VIP Events. * Create fashion show, event, and monthly editorial press & clipping reports (print, online, social media). * Organize and update magazine library monthly. * Media alert and Press Release send out. Admin / Budget * Admin Support VP PR (calendar, travel, expenses). * Budget Support / Monthly Updates. * Billing / Invoicing and Payment Tracking for PR team, PR expenses and marketing spendings. Your profile: Qualifications: * Existing strong database of contacts in Celebrity and Event PR. * Experience: 2-3 years. * Bachelor's Degree. * Highly organized and self-motivated. * Strong communication skills, with the ability to multi task. * Serve as the main information source for PR. * Proficient in Microsoft Office Suite: PowerPoint, Excel, Word. * Knowledge of Photoshop. * Knowledge of Fashion GPS, Cision and/or DMR.
