Responsibilities

About This Position

In keeping with the Marian Medical Center health care philosophy, the Administrative Assistant/ provides administrative support to the Senior Director, the direct managerial staff, the Marian Extended Care Center Medical Director and In-house Physician and acts as Quality Improvement Entry Coordinator. The Office Assistant reports to this position.

Coordinates and supervises delegated tasks to Office Assistant. Provides appropriate professional image to the public, including callers and visitors. Provides back-up support as needed for facility including phone coverage and mail distribution.

Complies data and formats information and special projects of a confidential nature. Attends meetings, takes minutes, and maintains contracts, reports and administrative records for Marian Extended Care Center.

Administrative duties include maintaining calendars, scheduling appointments, conferences, and coordinating various activities to support the Marian Extended Care Center administration staff. Screens visitors, telephone calls and mail.

Uses initiative and independent judgment by responding to requests, providing information, and resolving issues. Orders supplies and reconciles purchase requests. Assists in coordination of policies and procedures from initial request for revision or draft.

Prepares facility forms using advanced computer skills. Performs other administrative duties as assigned. Demonstrates good judgment and professionalism, and exhibits flexibility and versatility in providing support for special projects.

Must be able to work independently, demonstrating initiative and comprehension of facility activities. Major responsibilities are listed; however, at times the incumbent may be assigned other duties. Facilitates Quality Improvement process including providing training in the process and plan preparation. Coordinates all office functions.

Selection Criteria

At least 3 to 5 years increasingly responsible clerical experience in an administrative position reporting to management-level position, preferably in a medical background; 65 wpm typing skills, and knowledge of medical terminology. Advanced word-processing skills desired Current Notary Public commission or agreement to obtain commission within 90 days.

Demonstrated ability in advanced word-processing skills using MS Office. Has a good knowledge and application of the English language.

Utilizes discretionary decision-making to support customer service needs.

Excellent communication skills and maintains effective public relations with department clientele. Ability to be an effective team member.

Good interpersonal skills.

Ability to use a variety of office equipment - facsimile machines, telephones, copy machines, computers. Capable of handling a variety of projects simultaneously, mostly self-directed, in a timely manner to meet deadlines.

Works independently and performs a variety of assignments. Exhibits confidentiality in handling information that may impact entire organization.

Qualifications
