Position requires 5 day in office- 8am-5pm

JOB SUMMARY: Responsible for providing general office support with a variety of clerical activities and related tasks. The Office Coordinator will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties.

ESSENTIAL FUNCTIONS, ROLES AND RESPONSIBILITIES: Essential duties and responsibilities include the following.

  • Comply with all quality, safety, health, environmental requirements, policies, and procedures relevant to the position.

  • Greet Guests

  • Answer phone lines; maintain phone queue, automated attendant, and phone list for HQ Associates.

  • Transfer callers to an associate's voice mailbox when the associate is unavailable.

  • Order foods for meetings, flowers, and other items as directed.

  • Gather and distribute incoming mail and deliveries.

  • Assist with mailing and shipments.

  • Breakroom, lunchroom, and supplies organization and management; maintain stock and assist with ordering, receiving, and distribution of office supplies, snacks, waters, ancillary items as needed for both floors.

  • Proactively submit facility maintenance requests to appropriate personnel.

  • Manage meeting room requests.

  • Maintain seating charts, office signage, name plates and business cards as directed.

  • Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.

  • Special projects or assignments as directed by management.

EDUCATION, TRAINING, EXPERIENCE: High school diploma or one year related experience and/or training; or equivalent combination of education and experience.

CERTIFICATIONS, LICENSES, REGISTRATIONS: None required

JOB KNOWLEDGE, SKILLS, ABILITIES: Prefer flexibility, communication proficiency, collaboration skills, customer/client focus, and technical capability. Basic mechanical aptitude and knowledge. Intermediate computer skills, Intermediate language and mathematical skills, and Intermediate reasoning ability. Basic knowledge of Excel and Word programs. Able to work in office 5 days a week.

SUPERVISORY RESPONSIBILITIES: This position has no supervisory responsibilities.

  • Normally work in an office environment.

  • Occasionally may be exposed to hazards such as loud noise, heavy equipment, temperature extremes, chemicals, etc. while visiting a branch location or manufacturing facility.

  • The noise level in the work environment is usually moderate.
