Summary
The Office Coordinator will provide administrative support to the organization and reports to the HR Manager.
Responsibilities
Hybrid in office 3 days a week. Occasional full week office requirements with notice due to company events.
Manages reception area including management of all inbound calls and visitors.
Processes reservation requests for indoor conference rooms.
Ensure the break room is clean and stocked with supplies.
Coordination of company lunches and events, including travel as needed.
Ensures all meeting rooms and communal spaces are organized and clean.
Responsible for onboarding and conducting new employee orientation.
Responsible for administering all employee recognition programs, including tracking recognition nominations, updating the WorkTango system, processing gift card orders and other recognition program awards, coordinating recognition lunches, and assisting employees with any questions regarding the programs or the WorkTango site.
Maintain the organization chart, contact list, and other intranet updates.
Provide information and content for monthly employee events email.
Help the HR team in assessing employee engagement and evaluation.
Schedule, plan, and conduct employee engagement events including presenting content.
Maintain the HR team's calendar (schedule meetings, interviews, HR events etc.)
Organization and ordering of office supplies, coffee, and other essentials.
Act as liaison for building management for scheduling maintenance and repairs.
Direct main office line voicemails to the appropriate personnel.
Distribution and mailing of letters and shipping of packages.
Participates in monthly department meetings as scheduled by supervisor.
Completes special projects as necessary.
Completes administrative tasks and functions as requested by the Human Resources Department
Required Education and Experience
Competencies, Knowledge and Skills
Excellent verbal and written communication skills.
Excellent interpersonal and customer service skills.
Excellent organizational skills and attention to detail.
Working understanding of human resource principles, practices, and procedures.
Excellent time management skills with a proven ability to meet deadlines.
Ability to function well in a high-paced and at times stressful environment.
Proficient with Microsoft Office/ Google Suite or related software.
Physical Requirements
Frequently required to sit and stand.
Required to use hands to handle or feel objects, tools, or controls.
Visual acuity and manual dexterity are required such as using software and a laptop computer.
Visual acuity and manual dexterity required for coding software and a laptop computer.
Ability to lift 25 pounds.
