Ajinomoto Bio-Pharma Services is currently seeking an Office Coordinator. This highly visible position serves as the first point of contact for prospective clients, vendors, and applicants. This role is responsible for bringing our culture to life by creating a warm, welcoming, and seamless experience for all employees and visitors. In addition this position will support various company events and projects. Organization and multitasking are essential to meet the needs of internal and external clients. The ability to be flexible, follow-through on commitments, solve problems and to prioritize will be keys to success in this role.
Greet all company visitors in a friendly and engaging manner; ensure they reach the appropriate person/function in a timely manner.
Be an ambassador of Aji Bio-Pharma positively representing the Company mission and culture, and providing a high level of service both internally and externally.
Manage companywide employee engagement and recognition events.
Regularly create & distribute clear and concise companywide communications.
Responsible for effectively operating all aspects of a computerized phone system including answering, transferring, paging and routing of inbound phone calls in a timely and appropriate manner.
Responsible for monitoring employee entrance into and out of the building per company guidelines and issues visitor passes.
Assists Human Resources with various administrative projects.
Manage various administrative functions including Company postage, mail, data entry, front-office supplies and vendor management.
Manage all conference room calendars.
Manage high volume catering for internal and client meetings.
Manage company organizational chart and new hire communication.
Responsible for maintaining confidentially.
High School Diploma or equivalent. Bachelor's degree is a plus.
Minimum of one to three (1-3) years of relevant experience in office management.
Proven ability to anticipate potential issues and opportunities and address them with a sense of urgency.
Ability to operate and navigate through a computer system and perform all duties and responsibilities with minimal supervision.
Administrative experience in Human Resources is a plus.
Event planning experience is a plus.
Excellent verbal and written communication skills.
Ability to multitask and change priorities on a frequent basis.
Must be familiar with Microsoft Office applications.
