We're currently seeking an Office Clerk Team Member for the Pleasanton, CA location. The position is based in Pleasanton and may require some travel to the Martinez branch to provide support on an as-needed basis.

The Office Clerk supports the branch team by efficiently and effectively handling the administrative functions of the Branch. The position will serve as support staff for team members, clients and vendors.

What you'll do:

  • Answering phones with multiple lines & transferring calls

  • Taking phone messages

  • Greeting visitors

  • Placing orders/supplies

  • Managing /handling incoming & outgoing mail or packages

  • Data entry into company software system (Oracle based) and Excel

  • Filing documents and paperwork

  • Will perform other administrative duties as needed

Skills we're seeking:

  • Minimum High School Diploma; some college coursework or equivalent work experience preferred

  • Proficient computer skills to include Microsoft Office programs (Word, Outlook & Excel) are strongly preferred

  • 10 key by touch

  • Accounts Receivables & Collections is highly preferred

  • Bilingual Spanish is a plus but not required

  • Great customer service skills and strong team player

  • Ability to multi-task in a fast paced environment and have strong time management and organizational skills

  • Minimum of 2 year experience in an office environment or in an office support role preferred

JOB SUMMARY Responsible for the processing of all daily and monthly accounting related information in a timely and accurate manner as required by the West Region Accounting department. This position will assist the location manager with various analysis of monthly financial statements. Working in cooperation with a Plant Manager, Operations Manager, or plant administrator, this position will be responsible for some or all of the following; fundamental analysis of location costs, maintain various inventory reconciliations, bank deposits, process accounts payable invoices and monthly accruals, track and process location hourly and salary time records, maintain a petty cash fund, monitor and log procurement card activity, process fuel usage and receipts, track all plant assets, track and monitor maintenance for plant equipment, coordinate location purchases and rentals, produce a variety of daily and monthly reports as required by location management, and act as a location contact to other Vulcan locations as well as the surrounding communities. This position will also work closely with other Vulcan departments addressing issues dealing with Safety, Health and Environmental, Purchasing, and Human Resources. This position reports directly to the location Plant Manager or Operations Manager and will also utilize a dotted line responsibility to the Manager of Plant Accounting and Internal Control Processes to verify compliance with all internal control processes for the location. MINIMUM QUALIFICATIONS Education: a high school diploma or equivalent qualifications derived from training and work experience Experience: Minimum of one year in bookkeeping, accounting or related experience is required. License: A valid California Driver's License is required. Knowledge, Skills, and Abilities: Knowledge of common office practices, procedures, and use of office equipment are required. Must possess basic math skills focusing on accuracy and be able to use a ten key calculator by touch. Appropriate typing skills and a working knowledge of Microsoft Word and Excel are required. Must have good organizational skills, ability to prioritize and handle multiple tasks simultaneously. Must have good communication skills and be familiar with proper phone etiquette. Works with Division Human Resources department to handle personnel requests and problems. Works with division SHE department handling safety and environmental issues. Prepares month-end closing information for Accounting based on current closing schedule; fuel inventories, fixed asset changes, equipment rentals, month-end accounts payable accruals and location production reports. Serve as a contact for the plant. Receive guests and answer phones directing questions or problems to the appropriate individual. Participate in researching, documenting and solving location specific problems. Perform fundamental analysis of location operating and repair costs as requested by location management. Serve as backup for some scale clerk duties when necessary. Other duties may be assigned as require.
