APPLICATION DEADLINE: Monday, May 6, 2024 This position performs general clerical, accounting, and/or receptionist duties for the Administration Division of the Public Works Department.
DUTIES: : Uses computer to prepare and create correspondence, work orders, minutes of meetings, reports, agendas, spreadsheets, contracts, statistical analyses, or other documents. Answers telephone and/or two-way radio for the assigned department; provides information, takes and relays messages accurately.
Greets visitors to the department; provides necessary information. Processes and completes payroll, reviewing leave records, properly calculating any overtime, entering data into computer, reviews edits for time entry and labor distribution; enters and edits payroll transfers to proper accounts within payroll funds. Performs general accounting tasks such as auditing and modifying vouchers for payment, issuing purchase orders, processing requisitions, and checking accounts to make sure sufficient funds are available to issue purchase orders and pay invoices; audits bills; provides accounting information of specialization to other employees; assists with budget preparation, reviews historic and recent expenditure trends, and prepares estimates for the next year; enters data into budget software; prepares and prints out needed reports.
Performs general office duties such as creating and maintaining files and records, making travel arrangements, processing mail, maintaining supply inventory, proofreading, filing, faxing, and/or photocopying. Researches and gathers data/information for the assigned area and prepares routine and special reports. Additionally, this position will also be responsible for assisting the safety compliance team.
REQUIREMENTS: High School diploma (or GED) and one year of college or vocational school education in Business Administration or related required (Associate degree in Business Administration or related preferred), with one year of general business, accounting, and computer operation experience (depending on area High School diploma (or GED) and one year of college or vocational school education in Business Administration or related required (Associate degree in Business Administration or related preferred), with one year of general business, accounting, and computer operation experience (depending on area of specialization); or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this position. Familiarity with software utilized by City office personnel such as Word and Excel; ability to learn job-related utilization of the financial software.
SALARY: Pay Grade 111; $35,624/yr. ($17.1267/hr.), plus a full benefit package.
WORK HOURS: Monday through Friday; 7:30 a.m. - 4:30 p.m.
