Overview

THe Office Manager/Corps Liaison is the first point of contact in the Mon Valley Corps for the community requesting services. This position requires an independent self starter whose responsbilities include handling general office procedures of The Mon Valley Salvation Army as it relates to interactions within the Corps/Community Center and with-in the Mon Valley Community at large.

To work as a liaison to recruit, train and oversee all volunteers at the Mon Valley Salvation Army, including, processing of PA Law required paperwork, following Salvation Army Volunteer policies and providing ongoing training and regular scheduled meetings with volunteers.

Responsibilities

  • Answer phones and direct calls appropriately making sure to document details, i.e. name, date, time, and return number

  • Handle casework of the Corps which includes interviewing of all clients, meeting the needs of the clients, as directed by the Corps Officer and the rules and regulations of The Salvation Army. This includes, but is not limited to, regular Salvation Army casework, Dollar Energy Fund, Project Bundle Up, Christmas Assistance, Food Pantry.

  • Oversee Food Pantry

  • Make sure proper records are kept according to The Salvation army STAT system for end of month reporting to Corps Officer.

  • Know the agencies in the community where and referrals are

  • Scan income sheets, invoices, and bank statements

  • Maintain a gifts in kind registery and make report to 412 food rescue

  • Oversee distribution and mailing of mail

  • Type correspondence related to the business, activites, and seasonal programs of the Corps

  • Supervise and train SCSEP worker(s)

  • Supervise college interns

  • Attend necessary training seminars with partnering programs, including but not limited to Dollar Energy, WCFB, and training offered by DHQ.

  • Recruit volunteers as needed, communicating regularly with Corps Commanding Officers and staff regarding current volunteer needs

  • Complete all necessary volunteer paperwork required for both PA Law Act 153 and The Salvation Army KeepSafe and process according to the policies set forth within a 30 day time frame

  • Develop job description for various volunteer roles

  • Provide training for volunteers, including the scheduling of regular meetings in cooperation with the Corps Commanding Officer.

  • Record and reports monthly statistics regarding volunteers, as directed by the Corps Commanding Officer

  • Develop time sheet records to record individual volunteer hours, jobs completed, at what level and report monthly to the Corps Commanding Officer

  • Monitor and teach each volunteers specific requirements, eg. work study students; college interns; youth community service

  • Strive to improve the life skills of volunteers so that whenever possible they can gain steady employment

  • Assist Corps Commanding Officer in the follow through of various program participants which volunteers assist, making phone calls, sending postcards, etc.

Qualifications

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Have the ability to communicate with individuals at varying levels, including, business persons, community services worker, staff, and students

  • Excellent oral, writing, and grammar skills with the ability to speak in front of a group fluently

  • Flexible with excellent organization skills

  • Enjoy being around people and helping them reach their potential, therefore improving overall program ministry results

  • Ability to operate a computer and working knowledge of the Microsoft Office Suite

  • Valid PA Driver's license which is cleared through Chesterfield Insurance and the ability to drive a 12 passenger van a plus

EDUCATION AND EXPERIENCE:

  • Higher education degree in a related field a plus, or,

  • At least two years' experience in working with volunteers and/or youth and a High School Diploma

  • Must have all three PA Clearances required by PA Act 153 upon employment and thereafter upon renewal date: PA Child Abuse History Clearance, Request for Criminal Record, and Fingerprint based federal criminal history

  • Must complete PA Mandated and Permissive Reporting training in compliance with Act 153 within 30 days of employment with recurrent training required every three years thereafter

  • Must complete The Salvation Army's KeepSafe training within 30 days of employment

  • Must have an understanding and appreciation of the Mission of The Salvation Army
