Overview:

Pay Range: $17.34 - $21.99 per hour (AFSCME 87 Pay Plan, A12 Step 1-13)

Hiring Range: $17.34 - $18.40 per hour (AFSCME 87 Pay Plan, A12 Step 1-4 DOQ)

There is one temporary (fixed term) Office Assistant opening with the Yakima County Prosecuting Attorney's Office. This position provides routine clerical support activities for the Multi-Disciplinary Team (MDT) Coordinator/Paralegal, and Attorneys assigned to the various cases. The office assistant receives intakes, enters data into the case management software and assists with document preparation and mailings.

Note: This is an AFSCME 87 - Master Courthouse Contract Bargaining union position.

Responsibilities:

Essential Duties:

Greets MDT members, victims/witnesses and their families, directs calls to appropriate parties, takes messages and provides routine information regarding program function.

Types and/or enters data into a computer for a variety of documents such as correspondence, agendas, schedules and forms. Maintains case management database, generates and sends out follow up letters to victims and their families.

Maintains scheduling calendar for team meetings, child and family appointments and forensic interviews.

Opens, sorts, date stamps and distributes incoming mail and prepares outgoing mail.

Gathers, organizes, copies, binds, and prepares documents, files and informational packets.

Other duties as required.

Education & Experience:

High School Diploma or G.E.D. AND one (1) year of general experience or training related to office support functions; OR an equivalent combination of education and experience which provides knowledge, skills and abilities sufficient to successfully perform the essential duties of the job.

Required:

  • Employment offers are contingent upon successful completion of a criminal background investigation, which includes fingerprinting every 5 years and general employment verification.

  • Because of the interaction with children and vulnerable members of the community, additional checks will be performed on the Dru Sjodin National Sex Offender Public Website and the Washington Sex Offender Public Registry.

Preferred:

  • Proficiency with imaging systems

  • Proficiency with Microsoft Word, Outlook and Excel

Equipment Used: Computer, phone, scanner, copier, fax machine, calculator and other standard office equipment.

Working Conditions:

This position is rated as Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

Environment: may involve exposure to potentially violent or hostile individuals.

Physical Demands: fingering, hearing, talking, and visual acuity.

Intellectual Demands: ability to multitask, confidentiality, ability to articulate and communicate information in conversations, ability to follow written instruction, and ability to follow verbal instruction.

Knowledge:

  • grammar, spelling and punctuation;

  • basic filing and file maintenance techniques

  • customer service techniques

  • phone etiquette; and,

  • basic knowledge of modern office practices

  • pulling and filing documents;

  • performing basic mathematical calculations;

  • using office equipment such as phones, copiers, calculators and fax machines;

  • establishing and maintaining effective interpersonal relationships at all organizational levels and with the public; and,

  • communication, both oral and written, sufficient to exchange or convey information and to receive work direction.
