Overview

This Work Matters! The Multnomah County Elections division is seeking to fill two (2) full-time, limited duration, Office Assistant Senior positions at its Elections Office located at 1040 SE Morrison Street, Portland, OR 97214.

NOTE: These limited duration positions are expected to end in late November or early December 2024.

As an Elections' Office Assistant Senior, you perform a wide variety of highly complex office support duties and functions and have an opportunity to create a positive impact in the community. You are comfortable with the election cycle and working as part of a high-functioning team. You take responsibility very seriously, are detail-oriented, and pride yourself on your reliability and flexibility. You have excellent communication skills for interacting with a diverse group of customers, and you understand the value of process improvement. You are the type of person who can be counted on to oversee serious tasks, bringing a diverse set of skills to operate at peak performance.

This position's primary task will be providing outstanding customer service to the residents of Multnomah County through the voter registration process. You will also be responsible for providing high-level clerical support to the Elections team, including:

  • Processing electronic registration records received by the Elections Division

  • Communicating with voters to troubleshoot registration problems

  • Assisting candidates with filing for public office and the voters' pamphlet

  • Assisting voters and answering questions both in person and over the phone

  • Providing leadership to seasonal Election Workers, helping to triage customer service issues

  • Completing special projects as assigned by the Elections team

Multnomah County Elections division conducts all elections and registers all voters within the County, ensuring transparency, accessibility, and compliance with federal, state, and local laws. The office prepares and maintains records related to voting activities and candidate services. The Elections division provides uniformity in the application, operation, and interpretation of election laws, and ensures that the public is provided with complete and accurate information.

Minimum Qualifications/Transferable Skills*:

  • Equivalent to the completion of the twelfth grade; AND
  • Three (3) years of specialized and increasingly responsible office support experience in an elections office

Preferred Qualifications/Transferable Skills*:

However, keep in mind we may consider some or all of the following when identifying the most qualified candidates.   • Demonstrated experience in working in elections, especially for Multnomah County and/or in the state of Oregon or state of Washington.

  • Demonstrated experience working with the Oregon Centralized Voter Registration (OCVR) data system.

  • Understanding of election processes, data, and time management.

  • Knowledge of federal, state, and local election laws, regulations, and administrative rules.

  • Experience in answering questions, providing information, and performing customer services for the public with courtesy and tactfulness.

  • Excellent verbal and written communication skills.

  • Ability to help teams and individuals develop effective processes for accomplishing work, allocating resources, and making decisions.

  • Skill in accurately entering data, performing mathematical calculations, and preparing written materials in a timely manner and free of errors.

  • Advanced working knowledge of business writing and preparing reports.

  • Advanced working knowledge of time management principles, office support procedures, and record keeping processes.

  • Ability to maintain focus in demanding work environments, under deadline and high-pressure conditions.

  • Ability to also speak a language other than English.
