At the Health Department, we are seeking to fill our workforce with diverse staff who are compassionate and can provide professional customer service to the community we serve. As an Office Assistant Senior in the Health Department, you will be working with and assisting people from many cultures, races, languages, backgrounds and life experiences different from your own and may be the first voice or person someone encounters. This recruitment will be used to create a candidate pool of Office Assistant Seniors. This recruitment will be used to fill various Full-time, Part-time, Limited Duration and On-Call positions throughout the Health Department Medical and Dental offices as they become available. As the Office Assistant Senior, you will:

  • Perform a wide variety of highly complex office support duties including the maintenance of detailed records, and gathering, verifying and correcting, and recording information.

  • Provide assistance to the public and other employees in person or by phone; explain complex processes and requirements; interpret and apply program information to a variety of situations and the processing of requests; determine when to contact appropriate program staff for assistance; may assist the public with standard program compliance questions and issues.

  • Assist with the design, implementation, monitoring and maintenance of program processes, procedures, program-related events, and systems; develop and evaluate office support processes.

  • Create, type and proofread a variety of documents from written, recorded, verbal or computerized sources; independently compose correspondence and memoranda related to responsibilities assigned.

  • Coordinate, compile, evaluate and prepare information and data for complex and comprehensive reports using spreadsheets, databases and presentation applications.

  • Maintain calendars and schedules of activities, meetings, and various events; coordinate activities with other County departments, the public, and outside agencies; maintain events calendar for program; assist with a variety of program duties such as training on systems, procedures, and program operations with clients, other agency staff, and the general public.

  • Develop and maintain complex manual and computerized record keeping systems for a variety of department or specialized program records; retrieve information; apply retention guidelines to purge records.

  • Assist with developing and/or coordinating the processing of forms, notices, orders or materials required for program area functions; process a variety of forms that require the application of various departmental or program policies and procedures; select, compile and evaluate materials, office forms and report formats.

  • May manage office support functions; direct the work activities of assigned clerical personnel; prioritize and coordinate work assignments; review work for accuracy; evaluate operations and activities of assigned responsibility area; recommend organizational or procedural improvements or modifications; prepare reports on operations and activities.

Minimum Qualifications/Transferable Skills*:

Any combination of experience and training that would likely provide the knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be as noted below. All non-traditional education, training and experience will be evaluated.

Education/Training: Equivalent to the completion of the twelfth grade; AND

Experience: Three (3) years of specialized and increasingly responsible office support experience including experience using applications (spreadsheet, word processing, presentation software, etc.) to input, retrieve and present data and text and/or experience working with clients and/or the public.

  • Depending upon assignment, candidates may be required to pass a criminal background check.

  • Possess and can demonstrate strong verbal and written communication skills.

  • Possess the ability to prioritize and follow up on responsibilities to better support the work unit.

  • Have the ability to be a quick but mindful problem solver.

  • Strong experience working with multiple programs and systems such as Epic, Microsoft Office, Google Suite etc.

  • Transferable skills: Your transferable skills are any skills you have gained through education, work experience (including the military) or life experience that are relevant for this position. Be sure to describe any transferable skills on your application and clearly explain how they apply to this position.

Location: Depending on assignment, locations range from the 7 Multnomah County Primary Care and Dental Clinics.

Schedule: Shift times vary between the hours of 8am

  • 5pm Monday

  • Friday.
