OFFICE ASSISTANT

Ross Education LLC is looking for staff to join our Ross Medical Education Center Team in the role described below. If you have post-secondary for-profit education experience in Admissions, Career Services, Financial Aid or Management, then you know the personal reward of assisting students in changing their lives. If you are new to our industry, but are an experienced professional in administrative, office, banking, sales, customer service or management, you may have transferable skills to move into our industry.

Job Summary

The Office Assistant works under the direction of the Campus Director. The Office Assistant is the "first face of Ross" to all visitors, current students, alumni and staff is responsible for providing exceptional customer service. The Office Assistant is responsible for creating a welcoming environment by preparing for scheduled arrivals, greeting each person, paying attention to and anticipating his/her needs, and monitoring the physical condition of the entry, lobby and waiting area. This position interacts closely with other Ross campus teams to personally guide potential students, current students, Ross staff and other guests to the proper Ross employee. The Office Assistant also provides support to all departments, orders supplies for class starts and distributes information to staff.

Requirements

  • High School diploma or GED equivalent

  • 1+ years work experience in administrative, clerical or other work requiring knowledge of general office procedures and equipment and good attention to detail

  • Some post-secondary education, such as certificate/diploma or degree from an institution accredited by an agency recognized by the U.S. Department of Education or the Council of Higher Education Accreditation (CHEA) is preferred

  • Education and work experience requirements may differ based on state and accrediting organizations' standards

  • Ability to greet all visitors to the building with a pleasant and professional manner, and always treating visitors with respect and offering prompt service

  • Ability to track orders to meet student and staff regularly scheduled needs, using the Ross calendar and direction from the Campus Director

  • Ability to work with vendors and track expenses. Follow Ross policies for vendors and orders

  • Ability to answer inbound phone calls with a pleasant and professional tone, and always treating callers with respect and offering prompt service

  • Flexibility to change priorities, as directed by the Campus Director and/or Assistant Campus Directors and to support other departments or projects as needed

  • Protection of student and/or employee privacy is expected in the handling of confidential and/or financial information

  • Must have sufficient visual and auditory ability to operate computer equipment, use telephone, read materials, and office equipment

  • Professional communication encompasses written, oral, visual and digital communication. Successful communication skills are required for working at Ross and involve the following: writing, reading, editing, speaking, listening, software applications, data entry and reporting, and Internet research

  • Ability to build rapport with students and staff

  • Ability to work with different teams

  • Ability to remain focused and adapt quickly in fast-paced work environment

Job Duties and Responsibilities

Customer Service & Staff Support

  • Greet each customer and inform the appropriate staff member that his/her appointment has arrived

  • Prepare for scheduled visitors by obtaining information from Admissions, Career Development or Financial Aid in advance of the appointment

  • Insure the entry, lobby and waiting area are properly maintained, stocked and welcoming

  • Prepare room and materials needed for orientation

  • Answer and direct incoming telephone communications

  • Demonstrate a basic understanding of all Ross programs, specifically the ones at assigned campus

  • Demonstrate knowledge of Ross departments with the ability to direct inquiries to the right person and/or department

  • Filing, data entry and uploading of scanned documents

  • Provide additional staff support as needed

  • Be a back-up for the Financial Aid Services Student Support Representative

Student Support

  • Copy and assemble various departments' information packets

  • Keep record of student attendance call ins

  • Handle transcript request

  • Responsible for making and distributing name badges

Director Support

  • Assist Director with various reporting activities

  • Actively participate in student retention and special school functions

  • Preparing certificates, transcripts, and class records

  • Notify Director of any office equipment needing repair/service

Compliance

  • Follow all Ross Policies and Procedures for data entry, filing, student records and documentation

Ordering Supplies

  • Order general office and computer/printer supplies from appropriate vendors

  • Order student book bags, books, supplies, forms, and uniforms for class starts

  • Receive and verify shipping items and distribute them accordingly

Mail

  • Send outgoing mail/UPS
  • Receive incoming mail/UPS
