Performs varied and increasingly responsible clerical duties. May perform data entry duties.

Examples of Duties

  • Types a variety of correspondence, reports and forms; may type minutes of meetings, newsletters, annual reports, purchase orders, and authorization for payment forms. May use word processing system to compile and update a variety of membership rosters, mailing lists, form letters or other documents.

    Operates standard office machines, personal computers, word processors and other equipment. Reviews all work for accuracy and completeness.

  • Sorts reports, compiles data and maintains files of correspondence, reference materials, statistical records, etc. May cross index and file data to ensure ease of location.

    May perform data entry duties. Maintains confidentiality of all information.

  • Receives, sorts, and distributes incoming mail. Answers telephone, receives and greets visitors, ascertains nature of business, answers general information questions and/or refers the caller to appropriate individual or department.

    Ensures that coworkers are informed of all calls received during their absence. May maintain appointment calendar of supervisor.

  • May collect financial/statistical data and post it accurately on prescribed forms.

  • May assist in planning and implementing departmental functions or special events.

  • Performs other related duties as assigned.

Typical Qualifications

Graduation from high school or successful completion of the GED; One (1) year clerical experience; good knowledge of office terminology, procedures, and equipment. Good word processing skills; knowledge of database and spreadsheet software preferred.

Ability to follow oral and written instructions; ability to read and interpret documents, instruction manuals, policy and procedural guides; ability to maintain records and data; ability to receive and convey information; ability to solve simple problems for oneself and others; ability to interact effectively with others. Must demonstrate good customer service skills. May be required to successfully complete a criminal history background check related to this position. May be required to possess a valid Motor Vehicle Operators License and have and maintain a satisfactory driving record according to the City of Hampton criteria.

Supplemental Information

Performs duties under the direct supervision of designated staff. Requires contact with other City departments, the general public, and outside agencies.

May require duties to be performed during nights and weekends as scheduled; may require occasional lifting of light weight materials. This is a non-exempt position.

Examples of Duties Conducts programs and activities for youth to include daily recreational activities and classes, special events, field trips, athletic and fitness programs, arts and crafts, and therapeutic programs. Provides statistics on number of participants and success of each type of activity. Confers with parents to determine the child's need for leisure time development. Encourages participants to use facilities and provide leadership in group activities. Organizes, promotes, and develops interest in activities such as leisure games, active and passive sports, storytelling, elementary music, drama, dance, etc. Provides instruction on rules and procedures for activities. Maintains discipline and order within the program site and other activity areas. Provides leadership and instruction in the techniques used in a variety of arts and crafts. Ensures that supplies are available. Instructs all participants in the care and use of all supplies and equipment. Prepares bulletin boards detailing upcoming events. Supplies information to program coordinator for inclusion in monthly report. Makes speeches and presentations to area residents and interested clubs and organizations to encourage active participation in all programs offered at recreation sites. Opens and closes the program site and secures the area. Plans daily activities such as arts and crafts, game time, playground activities, exhibits, dances, etc. Maintains responsibility for health and safety of all participants. Ensures permission slips and waiver forms have been properly signed and submitted. Works with other Youth Programs Leaders in carrying out programs. Maintains working relationship with agencies such as Social Services Department, public schools, and other City recreational functions to provide a wide range of activities. Establishes daily work assignment for Youth Programs Aides and volunteers. May coordinates and schedule a large variety of enrichment programs for multiple program sites. Keeps comprehensive records of enrichment programs to include attendance records, permission slips, and participation totals. Promotes program and seeks new facilitators. Performs other related duties as required. Typical Qualifications Graduation from high school or successful completion of GED; must be at least 21 years of age. A Bachelor's Degree in a child related field from an accredited college preferred. One (1) year of programmatic experience in the group care of children required. Knowledge of rules and procedures of a variety of games, athletic sports, and arts and crafts. Knowledge of first aid and CPR preferred. Good interpersonal and leadership skills; ability to communicate effectively both orally and in writing. When assigned to therapeutics, must have some experience working with the disabled. When assigned to the School Age Enrichment Program, must have ability to coordinate and schedule a large variety of different activities. Individuals under consideration for this position will be subject to criminal background check. Any acceptable combination of experience and education which qualifies the applicant for this particular position may be considered for the more specific requirements as outlined above. May be required to possess a valid motor vehicle operator's license, and have and maintain a satisfactory driving record based on the City of Hampton criteria. May be required to successfully complete a background check related to this position. Any person offered employment with the city in this position shall be required to successfully pass testing for controlled substances. Supplemental Information Performs duties under the limited supervision of the Youth Programs Coordinator. Extensive contact with youth of all ages (including the disabled) and parents. May be required to perform duties on a split shift to include nights. Requires flexibility and willingness to learn a variety of functional recreational skills.
