The Office Assistant II position falls within the Office & Administrative Support Job Family, providing essential office and administrative support to the Maine State Police Bureau of Identification. This role involves operating office equipment, understanding office processes, and executing diverse clerical functions. Successful candidates will contribute to meeting operational, production, and processing needs by performing routine office and administrative support tasks. The role requires independent judgment in prioritizing assignments within established operating procedures.

The successful candidate will need:

  • Completion of a fingerprint-based criminal background check prior to employment.

  • Experience with legal documents and familiarity with criminal justice paperwork and proceedings is preferred.

Primary responsibilities include:

  • Comply with State policies, including security protocols and confidentiality policies.

  • Create spreadsheets and manage data.

  • Type routine business correspondence.

  • Layout computerized formats and/or graphics.

  • Organize and maintain files.

  • Operate technical office equipment.

  • Handle heavy goods.

  • Input, arrange, and transcribe data.

  • Take notes and transcribe dictation.

  • Respond to inquiries and refer to appropriate resources.

  • Clean and maintain materials.

  • Provide guidance to co-workers on projects.

Skills or knowledge required:

  • Knowledge of modern office methods and procedures.

  • Proficiency in spelling, punctuation, grammar, and business English.

  • Intermediate mathematical skills.

  • Ability to drive a car or light delivery truck may be required.

  • Proficiency in creating spreadsheets and performing data management.

  • Typing proficiency for business correspondence.

  • Graphic layout skills.

  • Proficient in organizing and maintaining files.

  • Operation of standard technical office equipment.

  • Ability to transcribe dictation accurately.

  • Ability to work with timelines and schedules.

Minimum qualifications:

Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a general knowledge of modern office practices to perform routine, varied office support tasks often requiring the operation of technical office equipment, and 2) the ability to use independent judgment in prioritizing the work and selecting the most appropriate course of action within set procedures. All positions in this classification assume the qualifications of: Office Assistant I.

Preference will be given to candidates who:

Have experience with legal documents and knowledge of criminal justice paperwork and proceedings.
