Alaska Psychiatric Institute is looking to fill a full time Office Assistant IIwith anindividual who can help to drive the vision of (API) which is to provide an excellent experience for patients, families, community supports, students and staff with quality treatment and best practices in mental health care.

Under the general direction of the Building Maintenance Superintendent, this position provides administrative support and advanced clerical support to the Facilities Support Service Section of the Alaska Psychiatric Institute. Duties include but are not limited to; assisting the Building Maintenance Superintendent as needed, customer service in the hospital Support Service Department, File Maintenance and set up for various filing system, form, and document revision, and updating and retention to existing files.

This position is located at:3700 Piper Street in the U-MED district of east Anchorage which offers several maintained walking trails, parks, and nearby lakes. This area is filled with several restaurants, shopping stores, and has easy access to public transportation.

This position will:

  • Ensure records, documents and binders are accurate and Maintain various filing systems and auditing to ensure accuracy, ensuring they are up to date.

  • Support Services staff regarding key issues and other API staff.

  • Prepares and disperses internal memos regarding facility status.

  • Collection of and review of Support Service Department timesheets to ensure completion and accuracy.

  • Tracks and schedules contractor work and ensures keys and badges are appropriately logged in and out.

  • Performs record keeping per state and hospital retention schedules.

Substitution:

Education from an accredited college may substitute for the required experience (3 semester hours or 4 quarter hours equal one month of experience; 150 hours of vocation education equal one month of experience).

Special Note:

"High school diploma equivalent" means one of the following: 1) a G.E.D.; 2) completion of any basic adult education course equivalent to 480 class hours (16 weeks at 30 course hours per week); 3) acceptance in full standing by an accredited college or university; 4) highest grade of school completed plus an amount of paid or volunteer experience that totals 12 years and includes basic clerical tasks such as greeting clients, answering phones, typing, filing, sorting mail, entering data, receiving payments, making change, or maintaining logs.

Some positions in this class may require the incumbent to operate motor vehicles. Such positions require that the applicant possess a regular driver's license and be 18 years of age or older.

DEPARTMENT: Library HOURS OF WORK: Hours vary: Tuesday through Saturday; Between 9:15 a.m. and 7:15 p.m. LOCATION: Scott and Wesley Gerrish Library (Girdwood), 250 Egloff Drive Example of Duties Assist the public with the circulation of materials. Using the library's online system, perform customer service tasks including the charging, discharging and renewal of library materials, registering patrons for library cards and placing requests for materials. Assist patrons in the use of equipment including self-check machines and the library's catalog. Assist patrons in locating materials. Answer phones. Explain library policy to patrons. Resolve patron issues such as PCRs (patron claims returned) and fine clarification. Research the status of long overdues and missing materials. Cash management duties including accepting fines and fees, operating a cash register, receiving credit card payments, cashing out, preparing deposits, and emptying coin boxes. Other duties include shelving, sorting, mending and routing materials, assisting with statistics, and assisting with bus passes and voter registration. Performs other related duties as assigned. Perform other related duties as assigned. Minimum Qualifications / Substitutions / Preferences High school diploma, GED, or equivalent and one (1) year of customer service and/or library experience. Passport Acceptance Agent Certification within six (6) months of hire. Preferences: * Excellent customer service to adults, teenagers, and children. * Experience in a customer service role, which includes working directly with customers to resolve issues. * Experience working with the Dewey Decimal System. * Experience in cash handling, such as cash registers, credit card consoles, making change, and issuing receipts. * Experience working with copier machines, computers, and printers. * Communicating in more than one language.
