We are offering this as a permanent, full-time position, salaried position. Primary duties will focus as Lead Office Assistant while also supporting the Scale Master and Accounting Desk. The below includes a brief snapshot of the key aspects of the position:

  • Candidate will be expected to screen calls daily;

  • This includes routing calls to specific departments/persons when necessary

  • Answering questions directly, as able

  • Taking messages and relaying to proper individual(s)

  • Enter call notes into in-house software system in real-time

  • Point person for new customer account creation and follow-up

  • Enter data, run reports and review customer information for accuracy

  • Process and complete customer receiving paperwork

  • Communicate with customers regarding any concerns or questions pertaining to loads received and materials deemed as non-recyclable

  • Assist with month-end process

  • Learn the Scale Master position for the purpose of being primary back-up Scale master.

  • Learn how to use the truck scales

  • Greeting customers/drivers/employees at the service window

  • Will be placed upon the rotating Saturday schedule expecting to work at least 1 Saturday quarterly.

  • Sort, scan and electronically file incoming vendor invoices

  • Sort, scan and electronically file Shipping BOLs by customer and Sales Order numbers

  • Receive, sort and input into the system monthly Broker Sales Orders

  • Assist with Daily deposits, payment applications and postings

  • Back-up for Daily Attendance

  • General daily support of the office staff

MINIMUM REQUIREMENTS

  • High school diploma or equivalent

  • 2+ years in Customer Service/Administrative support role or equivalent experience in Operations, Logistics, Accounting or Management a plus

  • Excellent organizational and time management skills

  • Excellent verbal and written communication skills

  • Excellent proofreading and editing skills

  • Proficient in Microsoft Office- i.e., Word, Excel, PowerPoint

  • Ability to handle sensitive information with integrity and confidentiality

  • Must be flexible and adaptable to changing priorities

  • Must possess the ability to multi-task proficiently

SALARY

  • Starting salary negotiable and will be based upon level of existing experience
