Digital Turbine is searching for an Office Assistant to support the Austin office, executives and management team. The ideal candidate should possess excellent organizational and communication skills with the ability to effectively handle multiple priorities. The role requires someone who is proactive, and can anticipate and solve problems independently, and can manage and follow through on tasks and projects to completion. This role is expected to be very hands on and will facilitate the office expansion of the site and meet the needs of the various teams based out of this location.
This role reports to Global Marketing and is located at the corporate headquarters in Austin, TX.
Specific Responsibilities Include
Oversee entry to the building during open office hours (8:15am to 4:00pm)
Warmly greet tenants, visitors, partners, vendors, and candidates
Manage setup, coordination and scheduling of on-site events, and lunches
Help maintain a safe, clean, organized and welcoming environment
Complete Expense Reports for team leadership through Concur Software
Coordinate All-Hands team meeting for the Austin office
Review & process incoming mail; prioritize and handle as appropriate
Assist with new employee onboarding, desk setup, coordinating IT needs ,and creating a warm welcome
Handle inquiries and redirect vendors as necessary, via telephone and email
Help with travel reservations and visa applications for Executive leadership
Assist with day to day team paperwork administration
Oversee shipping and receiving of USPS, FedEx, UPS, etc.
Ensure that the conference rooms, kitchens and supply areas are well stocked
Maintain badging system and validate parking
Liaise with building for necessary repairs/cleaning or handle minor repairs as needed
Oversee any major construction/office move and maintain budget for office spend
Vendor coordination and relationship manager for catering, janitorial and other facilities service providers including management of key card, catering, other employee accounts
Bachelor's degree in administration or equivalent experience
4+ years in an administrative function
Excellent MS word, Excel, Outlook, PowerPoint, Concur software knowledge a plus
Some event planning experience preferred
Proven ability to self-learn new software programs
Strong attention to detail and organization skills
Ability to react and adapt in a fast paced environment
Positive, proactive, can-do approach
Ability to take initiative when necessary and work with minimal supervision
Ability to communicate with a diverse group of business partners: one on one, by phone, and/or email
