The Office Assistant is responsible for assisting the Business/Office Manager in overall office operations of the school. The Office Assistant reports to the Principal or Business/Office Manager, but works closely with all levels within the school and home office, as well as with students, parents, and outside consultants/vendors.

What You Will Do:

  • Provide administrative support for the Office Manager and Principal, such as screening visitors/telephone calls, managing correspondence, scheduling meetings and ordering supplies

  • Process documents and materials such as student transfers, student cumulative records, schedules, reports, and school newsletters

  • Assist in the maintenance of student records, ensuring they are complete, accurate and properly organized

  • Assist in all aspects of student enrollment and attendance reporting as directed by Office Manager

  • Maintain accurate student attendance for the purpose of providing accurate information for District and State reporting (includes daily absence verification calls, receiving/recording tardy students, and ensuring weekly attendance sheets are signed by teachers)

  • Manage confidential information appropriately

  • May assist in free/reduced lunch program reporting

  • Administer first aid and medication to students to meet immediate health care needs

  • Assist in the collection and processing of payments for a variety of events such as lunch deposits, donations, and fundraisers

  • Attend all relevant Aspire-wide professional development and training sessions

  • Assist Office Manager in completing school administrative functions/tasks as dictated by school site and home office deliverables; may work with outside vendors, and develop necessary communications internally and externally.

  • Maintain inventory including first aid kit supplies to ensure availability of required items.

  • Demonstrate knowledge of, and support, Aspire Public Schools mission, vision, value statements, standards, policies and procedures, operating instructions, confidentiality standards, and the code of ethical behavior.

VIEW JOBS 3/17/2019 12:00:00 AM 2019-06-15T00:00 Pay Grade: 45 Hiring Range: Salary Commensurate with Education and Experience JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: Reporting to the Associate Vice Chancellor for Research, the Director of Research Agreements provides leadership and support to a team of contract administrators within the Office of Sponsored Programs (OSP). This position is responsible for overseeing all aspects of the contracts negotiation and administration of both financial and non-financial agreements that include, but are not limited to: research collaboration agreements, MTAs, DUAs, CDA/NDAs, CTAs and other funded research agreements from federal and non-federal sources, foundations, and industry. The team is also responsible for the negotiation of all subawards. The Director is responsible for advising and assisting UTHCS faculty and staff on matters related to grant and contract terms and conditions, and for assisting in the resolution of complex problems related to sponsored programs. The position participates in the development of OSP's short- and long-term programmatic goals/objectives, and oversees their implementation within the Contracts unit. The Director must be able to manage the work of the team, and ensure that the metrics set for team performance are both measured and achieved. The Director is expected to work closely with the Office of the General Counsel, The University of Tennessee Research Foundation (UTRF), and other UTHSC and UT Systems offices, as appropriate. DUTIES AND RESPONSIBILITIES: * Manages a team responsible for drafting, reviewing, negotiating, and processing research and research related agreements including, but not limited to: federal contracts and grants; foundation awards, industry sponsored contracts, including clinical trial agreements, confidential disclosure agreements, data use agreements, material transfer agreements, research collaboration agreements and contract amendments and modifications. * Oversees the negotiation of incoming subcontracts and subawards as well as the issuance of subawards to other entities and their subsequent amendments. * Ensures that the agreement are consonant with UT and UTHSC policies, as well as federal regulations. * Supervises and oversees the management of OSP Contracts staff on UTHSC campuses including day-to-day supervision, coordination of work assignments, evaluation of staff, and corrective action as needed. * Reviews and approves agreements for signature on behalf of the University to ensure compliance with applicable federal, state, and local rules/regulations, as well as University policies. * Reviews, processes, and implements corrective action in administrative management of the contracting process. * Trains OSP staff and other UTHSC research professionals in current issues related to research and research-related contracts and other contracting processes, including electronic contract routing. * Maintains on-going relationships with sponsors, UTHSC faculty and staff, the Office of the General Counsel, UT Systems Office, UTRF, and affiliated institutions involved in research activities. * Assists AVCR in development of policies and procedures for process improvements ensures the accuracy of data entered into Cayuse and other systems. * Responds to campus inquiries regarding interpretation of institutional policies and procedures, develop and deliver training to the UTHSC research community as appropriate. * Ensures that standard operating procedures are in place to guide the work of the team. * Supervises and oversees the day-to-day management of personnel in the clinical trials unit. * Ensures data accuracy in university systems * Serves as back-up in the absence of the Associate VC for Research and Director of Office of Sponsored Programs – Grants; Performs other duties as assigned. MINIMUM REQUIREMENTS: EDUCATION: Law degree (i.e., JD) or Masters in Business, Law or related area (TRANSCRIPT REQUIRED) EXPERIENCE: Five (5) years of experience in sponsored programs administration, research compliance, or another equivalent field, preferably in an academic environment; or Bachelor's Degree, seven (7) years of experience in sponsored programs administration, research compliance, or another equivalent field, preferably in an academic environment. Superior problem-solving skills, and ability to effectively communicate both verbally and in writing. Ability to read and understand legal documents and compare with existing university policy, applicable law, and regulations. Excellent interpersonal skills, and the ability to organize effectively, and manage and prioritize multiple tasks.
