Office Assistant 3 Workforce Development & Training 30 hours per week

DESCRIPTION: Edmonds CC's Workforce Development and Training Division is seeking an Office Assistant 3 to join the team in the Vice-President's office. This position supports the mission of the college Teaching|Learning|Community by providing clerical support for the Workforce Development and Training (WDT) division, which offers quality learning opportunities for people of all ages through credit and non-credit educational programs. Work performed in this position will include complex, detail oriented projects such as preparing reports; preparing, reviewing, and processing fiscal documents; maintaining electronic records, manual files, and databases; monitoring financial records; making travel arrangements; and scheduling meetings for the Vice-President for Workforce Development & Training (WDT).

TYPICAL RESPONSIBILITIES: Under the supervision of Executive Assistant to Vice-President for WDT, this position will perform a variety of complex support functions for the office such as:

  • Assist in filing, maintaining, monitoring, and reconciling some budgets and electronic fiscal records and prepare budget reports

  • Schedule meetings including creating and sending invitations using Google calendar; request room reservation using 25Live; catering, parking permit request, etc.

  • Prepare agenda and take minutes at WDT meetings, as required.

  • Make travel arrangements for VP-WDT.

  • Answer telephone calls; receive visitors; and able to give directions or referrals to walk-in guests or students or phone calls.

  • Screen and distribute incoming mails/paperwork/messages.

  • Perform complex Word processing tasks such as integrating text with graphics, using spreadsheets and database software to develop and maintain records.

  • Review all outgoing paperwork for completeness and accuracy, making corrections as needed.

  • Prepare purchase requisitions to pay invoices and other forms of payment using Purchasing Express

  • Maintain electronic office files including budget related files, WDT Google Sites, Sheets, and Docs/Forms.

  • Assist in planning and setting up for special events sponsored by WDT.

  • Represent the WDT office and Edmonds CC in a personable and professional manner.

  • Perform other duties as may be assigned.

This is a classified staff position reporting to the Executive Assistant to the VP of Workforce Development & Training.
