What you will be doing:

Office Assistant II is a position with substantial responsibility for the practice of independent judgment when making AMHS reservations for the public. This position requires excellent customer service skills, vision of team, work and superb judgement skills.

Become an integral part of a local community in the great state of Alaska, and work with the DOT&PF and AMHS Central Office to facilitate travel and provide a cohesive Marine Transportation system for its members, Alaskans, and its frequent visitors.

Who we are looking for:

Any combination of education and/or experience that provides the applicant with the core competencies of:

  • Knowledge of the AMHS Fleet, routes, and amenities.

  • Ability to work effectively and tactfully with customers; identify issues, explain regulations and policies, evaluate alternatives, and resolve conflicts.

  • Experience using on-line reservations and ticketing system used to determine departure and arrival times, fares, and available accommodations and services, and processing credit card payments and refunds.

  • Competency using the Internet and proficiencies in Microsoft Office are required.

  • Knowledge of the principles of tourism, travel regulations, marketing, and sales.

High school diploma or the equivalent.

AND

One year of experience that includes clerical tasks such as greeting clients, answering phones, typing, filing, sorting mail, entering data, receiving payments, making change, or maintaining logs.

Substitution:

Education from an accredited college may substitute for the required experience (3 semester hours or 4 quarter hours equal one month of experience; 150 hours of vocation education equal one month of experience).

Special Note:

"High school diploma equivalent" means one of the following: 1) a G.E.D.; 2) completion of any basic adult education course equivalent to 480 class hours (16 weeks at 30 course hours per week); 3) acceptance in full standing by an accredited college or university; 4) highest grade of school completed plus an amount of paid or volunteer experience that totals 12 years and includes basic clerical tasks such as greeting clients, answering phones, typing, filing, sorting mail, entering data, receiving payments, making change, or maintaining logs.

Some positions in this class may require the incumbent to operate motor vehicles. Such positions require that the applicant possess a regular driver's license and be 18 years of age or older.

Some position in this class may require skill in typing. Recruitment and selection may include this requirement.

The incumbent is relied upon to provide administrative support, guidance and direction to ASD section chiefs and for all division staff.     The working environment you can expect: Our office is conveniently located at 3.5 mile in Juneau, next to the old Juneau Empire building, a central location with plenty of parking and a view of the channel. Telework may be an option in a part-time basis.     The benefits of joining our team: Our Administrative Services team is committed to providing exceptional customer service and we embrace the department's mission to "Keep Alaska Moving through service and infrastructure."  The future incumbent in this position will have an opportunity to further develop skills and build knowledge and competencies in the financial and administrative arena.   What you will be doing:  This position provides a wide range of technical, financial and administrative level support to the Administrative Services Division (ASD) and, specifically to the Administrative Operations Manager (AOM), the Administrative Services Deputy Director, and the Administrative Services Director.  This position uses ALDER and IRIS FIN/HRM reports to track expenditures, Reimbursable Services Agreements, encumbrances, appropriation balance, and year-to-date expenditure balance; identifies rising expenditures, budget shortfalls and make recommendations to the AOM; assists with monthly budget projections; reviews and code invoices and Adjusting Journal Entries (AJE) with appropriate funding sources; process various phases of personnel and payroll to ensure procedures and systems are in place; oversees all timesheets for each pay period for the division submitted through Employee Self Service (ESS); serves as the 3-mile HQ building maintenance liaison; and processes and issues purchase order documents through the State of Alaska`s financial and procurement system.?   Who we are looking for:    Any combination of education and/or experience that provides the applicant with the core competencies of: * Strong writing skills- must be able to explain complex policies and procedures to staff in a clear and concise manner using correct grammar, punctuation, and spelling. * Analytical skills/Reading comprehension - must be able to read and interpret a variety of documents, manuals, rules, regulations, reports, emails, etc., and analyze information in order to identify changes, inform decisions, and provide guidance to division staff. * Excellent time management skills- prioritize tasks and independently manage competing deadlines. Display a high level of initiative, effort, and commitment to completing assignments in a timely manner, work with minimal supervision, and be motivated to achieve. * High attention to detail- must be thorough when performing work, able to analyze details, identify errors, and double check work. * Intermediate skills in Microsoft Excel, Word, and Outlook, experience with IRIS and ALDER preferred.  Six months of entry-level technical experience in one or more administrative functional areas such as human resources, accounting, administration, and procurement. This experience includes work such as Administrative Assistant 1, Accounting Technician 1, Human Resource Technician 1, and similar classes with the State of Alaska or the equivalent with another employer. OR One year of advanced-level clerical experience. This experience includes work such as Office Assistant 2, Accounting Clerk, and similar classes with the State of Alaska or the equivalent with another employer. OR One year of post-secondary education from an accredited college (32 semester hours or 48 quarter hours equals 1 year) OR One year of any combination of post-secondary education, vocational education, and/or advanced-level clerical experience. Special Note: Examples of entry-level technical experience include: * Assisting in the preparation of reports reflecting the examinations made, discrepancies noted, and the corrective entries required for adjusting accounts.
