Minimum Qualifications NY HELPS: One year of clerical experience where most work time is spent performing keyboarding, data entry, chart compilation or arrangement, or various tasks involving typing into computerized systems. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.
Promotion Provisional: One year or more of permanent, contingent-permanent, competitive, or 55-b/c service as an office assistant, clerical, or keyboarding title allocated to Grade 6 or higher; OR as a Law Department Document Specialist Trainee 1, Law Department Document Specialist Trainee 2, Office Assistant 1-Keyboarding, Office Assistant 1-Keyboarding (Chinese Language) or Office Assistant 1-Keyboarding (Spanish Language).
Permanent Transfer Candidates: Current New York State employee with one or more years of permanent or contingent-permanent service as an Office Assistant 2, Grade 9, or one or more years of permanent or contingent-permanent service in a title at or above the Grade 7 level, and eligible for transfer under Section 70.1 of the Civil Service Law.
Preferred Qualifications: The preferred candidate will have excellent clerical, communication and organizational skills. They will also have experience with Microsoft Office programs, including Outlook, Excel, Word and PowerPoint; scheduling meetings; and the ability to work independently and prioritize multiple assignments.
Duties Description The Office Assistant 2 will work to provide high-level clerical support, with the majority of functions related to the Women, Infants and Children (WIC) Program within the Division of Nutrition (DON). This duties of this position include providing phone support; coordinating and preparing monthly report data and metrics in NYWIC; scheduling, attending and completing agendas for WIC meetings; notetaking and information distribution following meetings; screening WIC complaints; tracking completion of WIC mandates by local agencies and filing (queries, record reviews, mandated training attendance, progress reports on goals and performance improvement projects); maintaining updated documents in shared WIC drive; assisting and directing local agencies by providing informational guidance to basic questions; covering services while WIC staff travel to clinics for onsite technical assistance visits; tracking all mandated forms used by the regional staff; composing all letters of correspondence with the sponsor and local WIC agencies; and frequent communication and updates with WIC team. This position is critical to the day-to-day operations of the regional office and the WIC program.
