The Department of Corrections, Division of Institutions, is recruiting for an Office Assistant 1 position for the Fairbanks Correctional Center (FCC) located in Fairbanks, Alaska.

What you will be doing:

Answering multi-line phones, checking in professional and inmate visitors.  Expediting outgoing mail and packages, receiving and processing facility mail, receiving and processing inmate mail and packages. Maintaining physical and electronic logs of mail and visitors.  Checking in inmate visitors, both professional and public, and enforcing all visiting rules. Cash and check handling for inmate accounts.  Use of Microsoft Outlook, Excel, and Word. Other duties as assigned by the Administrative Officer.

The working environment you can expect:

This position is located outside the secure area of the facility in the Administration area at the reception desk in the lobby.  This position typically does not enter into the secure area of facility aside from an initial orientation.

Who we are looking for:

  • Working knowledge of the proper use of English grammar, spelling, and punctuation.

  • Some knowledge of personal computer-based workstations and related business software suites in a business environment.

  • Some knowledge of filing and basic recordkeeping systems.

  • Some knowledge of business practices, correspondence, and typing formats.

  • Ability to comprehend and follow oral and written instructions, procedures, and guidelines and apply them to varied situations.

  • Ability to answer telephones, greet visitors, direct them to appropriate program forms and information, respond to routine inquiries, and determine appropriate course of action relative to incoming messages, calls, or requests.

  • Ability to explain procedures and requirements to the public.

  • Ability to recognize obvious differences among data, facts, objects, or material.

  • Ability to compare data from two or more sources for accuracy and completeness.

  • Ability to alphabetize, code, rank numerically, sort, and batch various information and data.

  • Ability to maintain files and retrieve documents.

  • Ability to learn new word processing, spreadsheet, and similar business software programs.

  • Ability to operate office equipment such as copy machines, calculators, and microfiche viewers.

  • Ability to perform basic arithmetic operations.

  • Ability to balance cash and maintain cash balances.

Things to know before you apply:

  • Must be able to learn policies and procedures pertaining to visiting and mail and be able to enforce them.

  • Must be able to maintain professionalism when confronted with an occasional hostile or aggressive person at the front desk or on the phone.

  • May be exposed to explicit pictures or verbiage when processing inmate mail.

  • This position requires the use of the Alaska Corrections Offender Management System (ACOMS). A security clearance is necessary to use ACOMS. Security clearance may be denied for any applicant who has been convicted of a felony or misdemeanor in this state or another jurisdiction, or who may be a fugitive from justice. Additionally, security clearance will be withdrawn if the Department discovers that material information was falsified or omitted at the time of the initial application for security clearance

Minimum Qualifications:

High school diploma or G.E.D.;

OR

Acceptance in full standing by an accredited college (this includes acceptance in a concurrent enrollment or dual enrollment program);

OR

A Career Readiness Certificate with ACT WorkKeys scores of skill level 3 or higher in: Graphic Literacy (formerly Locating Information), Applied Math, and Workplace Documents (formerly Reading for Information).

Special Note:

ACT WorkKeys skill testing and career readiness certification is available at the Department of Labor and Workforce Development's Alaska Job Centers.

"Acceptance in full standing" means acceptance to a post-secondary program by a college or university and does not require enrollment or participation in the program. This includes acceptance in a program offering college credits while in high school, or both high school and college credits, but does not include taking advanced placement courses in high school.

Some positions in this class require the incumbent operate a State vehicle. Such positions require the selected candidate possess a valid driver's license and be 18 years of age or older on or before the first day of employment.

PREA NOTIFICATION

The Department of Corrections follows and maintains federal and state requirements standards including, but not limited to, Prison Rape Elimination Act (PREA) standards which apply to all public and private institutions that house adult or juvenile offenders. PREA standards preclude the department from hiring or promoting anyone who has engaged in, or been convicted of any conduct which would violate PREA standards related to sexual assault including:

  • Sexual abuse in a prison, jail, lockup, community confinement facility, juvenile facility, or other institution;

  • Convicted of engaging or attempting to engage in sexual activity in the community facilitated by force, overt or implied threats of force, or coercion, or if the victim did not consent or was unable to consent or refuse; or

  • Has been civilly or administratively adjudicated to have engaged in the activity described above.

EDUCATION

If post-secondary education is required to meet the minimum qualifications, you must fill in the Education section of the application. If you have not obtained a degree, please indicate the number of units completed. Copies of transcripts are required to verify educational credentials if used to meet the minimum qualifications for a position. Transcripts can be attached at the time of application or provided at the time of interview, at the discretion of the hiring manager.

SPECIAL INSTRUCTIONS FOR FOREIGN EDUCATION

Education completed in foreign colleges, universities, or high schools may be used to meet the minimum qualifications listed above. If utilizing this education, you must show that the education credentials have been submitted to a private organization that specializes in interpretation of foreign educational credentials and that such education has been deemed to be at least equivalent to that gained in conventional U.S. education programs; or an accredited U.S. post-secondary institution reports the other institution as one whose transcript is given full value, or full value is given in subject areas applicable to the curricula at the post-secondary institution or high school.  It is your responsibility to provide such evidence when applying.

WORK EXPERIENCE

If using work experience in your Applicant Profile, you must also provide the employer name, your job title, dates of employment and whether full or part-time. Applicant Profiles will be reviewed to determine if the responses are supported and Minimum Qualifications are clearly met. If they are not, the applicant may not advance to the interview and selection phase of the recruitment.
