This title is filled from the Office Assistant 1-Keyboarding eligible list. There are no minimum education or experience requirements. However, for those who pass the written test, prior to being considered for appointment, you will be required to pass a keyboarding test that demonstrates your ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy.
Duties Description PRIMARY DUTIES AND RESPONSIBILITIES:
Under direction of an Office Assistant 2, the duties of the Office Assistant 1 may include, but are
not limited to the following:
Sorting mail, answering telephones, and copying and faxing documents.
Maintain and order office supplies
Maintains incident report online log, including assignment of incident numbers for all reportable, serious reportable incidents and allegation of abuse across the DDSO. Also may be asked to provide some technical assistance to staff when questions arise when they call for incident numbers for any of these reportable incidents.
Data entry in two extensive databases for all reportable incidents, serious reportable incidents, and allegations of abuse across the DDSO. One database uses Microsoft Access software and the other is a statewide internet based database.
Maintenance of the current file storage system, which includes both active and closed files.
Processing of documents received from the Director's office and/or the teams, includes the merging of original documents into the SIR files or the verification files.
Sending notifications of new incidents and entering of the notifications made into databases.
Preparation and regular maintenance of verification files that are used for review during regular audits by various staff and outside agencies, including Department of Health.
Typing correspondence, reports, memorandums, lists and other documents as required by both the Incident Management and Quality Management.
Provide clerical support for the Incident Review Committee:
?Compilation of all completed incident investigation reports and creates copies for the Special Incident Review Committee members to review at the biweekly meeting.
?Copies and distributes IRC meeting minutes after they are completed by the IRC chair
?Mailings for Jonathan's Law notification correspondence.
?Compiles MSC letters
?Copying of complete investigation files as needed for review by departments within the facility such as Office of Human Resources and outside agencies, including Mental Hygiene Legal Services and NYS Justice Center.
?Assisting Incident Management/Quality Management with clerical duties, such as proofreading or redacting investigation reports, and various other requests.
?Organizing new incidents after they are received, arranging triage, and creation of assignment memos for applicable Campus incidents.
?Providing back up for the Behavior Management Committee as needed.
?Completes monthly minor trend entries into Excel.
?Other duties as assigned.
