POSITION SUMMARY:
Analytic Services Inc. (ANSER) is seeking an Office Administrator / Executive Assistant to support the Defense Innovation Unit at the Pentagon providing direct support to Deputy's Innovation Steering Group (DISG) and Defense Innovation Working Group (DIWG) to rapidly evaluate, identify, and execute innovative solutions for key operational problems facing the Joint Force. You will provide meeting management, meeting execution, and senior leader stakeholder engagement and coordination.
Day to day responsibilities:
- Develop, maintain, and implement routine office technical/administrative procedures and standards to include document preparation and coordination, filing, formatting, reproduction, and distribution as required by the office mission.
- Assist action officers and contractor team members as needed in managing taskers, coordinating document reviews, preparing read-ahead information, and preparing appropriate correspondence.
- Prepare metrics, weekly action reports of critical suspense data, weekly reconciliation between internal/external program offices of pending/overdue actions, and identify discrepancies to government personnel.
- Assist government personnel with the development of business methods and procedures, including administrative systems, Records management file systems, office systems, process flows, and production schedules to support CATMS.
- Provides expertise in record archiving processes, retention schedules, and record destruction practices. Knowledge of Federal regulation and accrediting standards according to National Archives & Records Administration (NARA).Create and implement training guides and support training of staff members in the structure and missions of the DIU, CATMS, and proper preparation of signature packages, and using the correspondence guidance and suspense tracking system.
- Intake, review, and analyze FOIA requests and responses. Ability to engage relevant agency stakeholders to locate requested records and confirm that the release and disclosure of responsive documents adhere to applicable exemptions and/or exclusions. Understanding of and applying Privacy Act (PA) laws, regulations, and privacy implications
- Familiarity with System of Records Notices (SORNs) and the interpretation of routine uses for disclosures of information maintained in federal systems
- Other responsibilities and duties as assigned.
Required Qualifications:
- Active Secret clearance required.
- Bachelor's degree.
- 5 years experience providing services to senior general/flag officer ranks and/or SES levels within the DOD, other government agencies, or industry corporate equivalents.
- Minimum of 2 years' experience supporting either event planning, providing meeting notes and summaries, developing agenda notes and summarizations.
- Demonstrated high proficiency with Microsoft Office, specifically with Microsoft SharePoint.
- Prior experience with stakeholder coordination across DoD or other government entities.
- Familiarity with the Pentagon, DoD organization/structure, and senior leader decision-making.
- Ability to work on site within core hours 9am-5pm, to also include the ability to support a rotating shift coverage schedule is a firm requirement with the early shift from 6:30 am 3:00 pm at the Pentagon or Mark Center in office 5 days a week.
Preferred Qualifications:
- Prior experience working with DoD governance forums, meeting management and execution, and senior leader stakeholder engagement.
- Experience working closely at the OSD, Joint Staff, or Service level.
- Demonstrated high level of proficiency of the English language, both written and oral.
- Records Management experience.
- Top Secret clearance with SCI eligibility.
