K & L Distributors, Inc. a wholesale alcoholic beverage distributor is accepting applications for an Office Administrator/Accounts Receivable clerk for our Fairbanks, AK location.

SUMMARY:

Records payments to accounts and maintains accounts receivable records by performing the following duties:

  • Answer phones

  • A/R (Fairbanks and SE Alaska): post incoming payments and contact customers regarding outstanding balances

  • Backload vans: process, distribute and email to appropriate locations

  • Events/Promotions: make reservations, arrange catering, PPG support, etc.

  • Expense Reports: verify for accuracy, submit to Accounting

  • Fax distribution

  • Distribute and process incoming mail as needed

  • Prepare and distribute incoming van paperwork

  • Research inventory discrepancies

  • Gather new hire paperwork and send to HR

  • General upkeep of office

  • Coordinate maintenance and repair of office equipment

  • Invoice and process customer pick up orders and sales deliveries

  • Track, monitor and collect on outstanding invoices

  • Update and distribute phone list

  • PPG: order, check-in and invoice

  • Recon: process invoices in VIP, submit daily recap for final register

  • Update and distribute Road Run calendar

  • Maintain rotation schedule for Sales Representatives

  • Process Stock Transfer requests to Anchorage

  • Update and maintain Stress Beer Inventory file for distribution

  • Print Tasting Notes for events as needed

QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • High school or GED required. Prefer Associate's degree from 2 year college, or 6 months to one year related job experience and/or training; or equivalent combination of education and experience.

  • Ability to write routine reports and correspondence

  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions and percentages.

  • Excellent computer skills required. Knowledge of MS Excel and MS Word.

The Project Director provides leadership and guidance to the research and administrative staff by supporting ACEP's core values and expectations of the ONR award. They oversee all research projects being conducted on ONR to help research faculty and staff complete the objectives outlined within the grant. Completing annual reports and providing additional information to the funding agency as needed to strengthen ACEP's position as Alaska's leading research organization in energy.
