The Illinois Department of Revenue (IDOR) is seeking to hire an Office Administrator V to oversee the work of the Production Control Section housed within the Document Control & Deposit (DC&D) Division, which processes tax returns and tax payments that are mailed to or hand-delivered to the Willard Ice Building. The Production Control Section is responsible for tracking all of the work coming in and out of DC&D. The Section Manager will serve as full-line supervisor of approximately six full-time clerical staff persons as well as coordinate the work of temporary workers. The ideal candidate for this position will be comfortable creating and maintaining spreadsheets of information and have strong leadership and communication skills.

Essential Functions
Under general direction, serves as Production Control Section Manager within the Document Control & Deposit Division (DC&D).
Serves as full line supervisor.
Keeps the Division Manager apprised of any personnel problems.
Consults with the Account Processing Administration (APA)'s designated temporary employee liaison and temporary service vendor(s) to coordinate temporary staffing assignments.
Maintains a database to track the use of station numbers.
Serves as a committee member during year-end testing and special project teams to ensure processing areas are utilizing station and sequence numbers properly.
Directs the verification of incoming remittances into DC&D using the Check Monitoring Application.
Performs other duties as required or assigned which are reasonably within the scope of duties enumerated above.
Minimum Qualifications
Requires knowledge, skill and mental development equivalent to completion of two years of study at a secretarial/business college and three years of office experience
OR- completion of high school and five years of Office Assistant experience
OR- five years independent business experience.
Preferred Qualifications
Three (3) years of experience working with programs and service objectives, activities, and operational systems.
Three (3) years of experience working with State and Federal tax forms.
Three (3) years of experience working with office procedures and programs in a professional environment.
Three (3) years of experience gathering and compiling data for the purpose of generating complex reports.
Two (2) years of experience supervising staff (i.e., assigning work, approving time off, and evaluating performance).
Intermediate proficiency working with Microsoft Excel or similar spreadsheet software.
Three (3) years of experience operating manual and automated office equipment, e.g., copiers, printers, scanners.
Intermediate proficiency working with Microsoft Word or similar word processing software.
Conditions of Employment
Requires the ability to successfully complete a tax compliance and fingerprint-based background check.
Requires physical ability to perform tasks which include pushing and pulling a cart to deliver tubs to other work areas and lifting and moving work above shoulder level to place on or remove from shelves.
This position is considered heavy work as defined by the U.S. Department of Labor (20 CFR 404.1567(d)). Heavy work involves lifting no more than 100 pounds at a time with frequent lifting or carrying of objects weighing up to 50 pounds.
