Premier luxury real estate brokerage is searching for an Office Administrator. This is a key first impression role that calls for someone who is posed, professional, and with superior tact and discretion. The Office Administrator position is ideal for a high-end retail/hospitality/concierge experienced professional.

This position is responsible for:

  • Greeting all clients/walk-ins and agents.
  • Answer/transfer phone calls.
  • May be asked to cover phone lines for other offices/back-up other Office Administrators (lunch break, vacation, etc.)
  • Coordinate meetings, events and conference room requests.
  • Liaise between Managing Broker and agents.
  • Perform administrative duties for agents and Managing Broker.
  • Maintain office operationally efficient (supplies, deliveries, property listing panels, office equipment).
  • Prepare reports, as needed.
  • Coordinate weekly and monthly reports for Managing Broker.

Requirements

Must have 2-3 years of administrative/front desk experience (preferably in the hospitality/luxury service industries).

Knowledge of Windows, MS Office applications (Word, Excel, Outlook, and PowerPoint)

Reliable Transportation

Personality is key! Friendly, helpful, upbeat demeanor

Assembles charts accurately, stamps with correct patient name, correct orders and other various records, correct charge information on chart.</p></li><li><p>Assists with area clerical duties such as typing, photocopying, filing, scanning and faxing documents, medical records, reports and other materials.</p></li><li><p>May assist with data entry into reports, creation and maintaining of databases, spreadsheets, and other documents using a variety of software applications. Prints, sorts, and organizes paperwork, reports and/or materials to be sent out. Maintains Policy and Procedure and Safety Manuals.</p></li><li><p>Provides general reception duties. Develops meeting arrangements.</p></li><li><p>Maintains department or area calendar of events, postings on department board, and distribution of department information.</p></li><li><p>Orders and maintains adequate amount of medical and office supplies.</p></li><li><p>Educational requirement of 1-2 years (Certified Administrative Professional) or two-year associate degree and 1 year of experience in either clerical role or healthcare environment OR High School Graduate or equivalent and two years of experience is required.</p></li><li><p>Typing requirement of 40 words per minute.</p></li><li><p>Knowledge of Medical Terminology.</p></li><li><p>Ability to read and write English at high school level.</p></li><li><p>Ability to use or operate computer, copy machine, Dictaphone, typewriter, and fax machine.</p></li><li><p>Good organizational and communication skills.</p></li></ul> Health First Cocoa Beach FL
