Position: Office Administrator

Job Description:

The Office administrator position will play an integral role in the organizational strength of our company. The Office Administrator will provide administrative support to all managers. These responsibilities may include: clerical duties, filing, answering phone calls, responding to emails, assist in driver training and onboarding documents for new drivers, fields external customer questions, complaints and shipment tracking inquiries while demonstrating the highest degree of courtesy, integrity and professionalism to resolve customer issues via phone and email communication. Qualified candidates will have a strong ability to multi-task and a friendly demeanor.

Core Responsibilities & Duties:

  • Analyze and organize office operations and procedures such as information management, filing systems, supply requisitions, and other driver services

  • Oversee office staff functions, including office supply levels, equipment maintenance, procedures manuals, forms, and direct cross training of staff

  • Maximize office productivity through proficient use of appropriate software applications

  • Establish uniform correspondence procedures and style practices

  • Create and maintain filing system for warehouse records, such as scheduling information, consignee records, shipping/receiving records and customer files

  • Maintain contact with customers, ensuring high level of customer satisfaction

  • Complete other duties as requested and ability to work some extended hours to include weekends, as needed

  • Answer incoming customer calls and provide detail information

  • Data entry (domestic and international bills)

  • Maintain a driver sign in log

  • Maintain files in order and as outlined in the operations procedures and policy manual

  • Perform daily audits on all outbound shipments

  • Arrive inbound manifest and close out outbound manifest in the AS400

  • Consistently monitor e-mail request and provide detail information in a timely fashion

  • Regular and dependable attendance

  • Office cleanliness: vacuum and trash empty (Smaller stations only)

  • Other duties as assigned

Requirements:

  • Demonstrated ability to carry out assignments to their completion and meet deadlines

  • Ability to establish and maintain effective working relationships with employees and managers

  • Desire for a long-term career with an industry leading company

  • Ability to present and maintain a positive corporate image in a fast paced environment

  • Proactively establish and maintain effective working team relationships with all support departments

  • Ability to perform general administrative duties; file, perform data entry, photocopies, etc.

  • Ability to handle heavy work load and work well under pressure

  • Understanding of industry documents (bill of lading, master air way bills, tsa forms, etc)

  • High school diploma or GED equivalent

  • Strong customer service skills with focus on performance recognition

  • Ability to establish credibility and be decisive, but able to recognize and support the customer's preferences and priorities

  • Proficiency in planning written and verbal communications

  • Strong technical skills (i.e., Microsoft Word, PowerPoint, Excel 2007, web based applications, etc.)

  • Excellent interpersonal skills both written and oral

  • Ability to work independently and prioritize multiple objectives in a fast-paced environment while delivering quality outcomes

  • Experience working in a transportation office environment a plus

  • Make decisions and or final recommendations which affect multiple departments

  • Intermodal transportation exposure is a plus

Skills:

  • Ideal candidate will possess a can do attitude with a will do work ethic

  • Must have the ability to work in a fast paced environment

  • Strong verbal and written communication skills

  • Experience with AS400 operating systems is a plus

  • Transportation industry knowledge and experience is a plus

  • Computer skills, including MS Office/Excel, AS400 functions: air-bills, manifest, customer, customer service, reports, etc.

Each FA is supported by a Branch Office Administrator who * Partners with the FA to build deep, trusted client relationships * Enables the FA to focus on providing tailored, solutions-based advice, and * Delivers exceptional client service. Client service Edward Jones FAs are known for building quality, one-to-one relationships with their clients - and they're able to maintain those relationships with the help of the BOA. When clients have questions, the FA will often depend on the BOA to provide a timely response. Client development An effective marketing communications program is only as strong as the person who implements it on a daily basis. At the FA's direction, the BOA updates prospect and client data records, executes direct mail programs, assists with planning seminars, and makes follow-up phone calls to set or confirm appointments. The BOA also helps the FA deepen existing client relationships by recognizing opportunities during day-to-day client interactions, proactively preparing a variety of reports for scheduled appointments, and scheduling systematic contact activities. Certain BOAs will also have the opportunity to play a larger role in their region if their FA holds one of the key leadership positions. This generally involves scheduling meetings, communicating with other branches and compiling reports. Many branches also host a FA trainee for several weeks. In this case, the BOA can be called upon to help the new FAs become familiar with processing systems and office record keeping.
