What does a great Office Administrator- Facilities do?

The Office Administrator is responsible for handling all day-to-day facilities issues in a full service leased property. You will be a direct liaison with clients, vendors, associates, security and building management as well as maintain the overall integrity and operational functionality of the office, including standards, aesthetics, and associate safety.

Essential Job Responsibilities:

In this position you will perform the duties associated with the reception desk including:

  • Answering phones.

  • Signing in guest/visitors.

  • Ensuring appropriate security protocols associated with guest, vendors and applicants are followed.

  • Arranging for catering for internal meetings.

  • Ordering, restocking, and maintaining supplies and inventories for break rooms, restrooms, copy paper, and office products.

Perform routine administrative tasks for Directors including:

  • Crafting Excel Spreadsheets.

  • Typing and editing formal letters and correspondences.

  • Assist on answering tier line calls when available:

  • Assisting clients with card tracking.

  • Answering simple client questions.

  • Assisting with Client Reporting. Complete client deconversions.

Provide facilities support:

  • Working with landlord/Property Manager on facility issues relating to maintenance, janitorial services, security, parking, moves, adds, and changes.

  • Coordinating day-to-day local site activities including conferences and special event coordination, associate office moves, adds, changes. Setting up and taking down conference room furniture for special functions. Responding to AV trouble calls.

  • Resolving coffee and beverage vending issues, ensuring machines are stocked cleaned and properly functioning.

Basic qualifications for consideration:

  • HS diploma

  • Minimum of 3 years' experience with administrative support

  • Facilities support experience

Preferred qualifications for consideration:

  • Bachelor's degree

  • Proficiency with Microsoft Office

  • Purchasing/inventory experience

  • Strong time management, phone, and interpersonal skills

Indiana Office of Technology (IOT) IOT provides measurable, secure, consistent, reliable enterprise-technology services at cost-effective prices to our partner agencies so they can better serve our mutual customer, the Hoosier taxpayer. Contractor Administrator: Reporting to the Indiana Office of Technology Controller, this position is needed to plan, direct, prepare and track contracts, amendments and renewals for IOT. Contract Manager works with a technology contract framework for contract administration. A day in the life: This position is responsible for processing new contract engagements as well as renewals and amendments as well as tracking IOT contracts to ensure they are renewed in a timely manner. This position ensures IOT contracts are tracked in the State's Enterprise Resource Planning tool. Contract manager ensures that contracts are reviewed and approved in a timely manner while holding themselves and other contract approval resources accountable. This position tracks the Dell, Oracle, IBM, Mainline, and Remi licenses and maintenance coverage for hardware and software products for IOT and other agencies to ensure that invoices match the current inventory. This position is responsible for developing, in partnership with Department of Administration(DOA), a technology contract framework. This includes reviewing contracts for compliance to technology contract framework for both IOT and partner agencies. Assist in promoting and educating the contract framework within IOT and in partnership with DOA to other partner agencies. Assit with negotiating contracts including large complex contracts. What we're looking for: * Bachelor of Science in Business Administration or related degree. * Must have a minimum of eight years of experience in contract management. * Must have knowledge and experience with software that tracks contracts. * Contract management module experience within PeopleSoft is preferred. * Prior experience with developing enforceable contracts terms and conditions. * Demonstrated experience with building trust and key relationships with contract SME's and Executive Staff are required. * Requires initial and annual refresher training in state contracting and in state purchasing. * Prior experience with vendor management and/or signatory authority is preferred. * Prior experience with complying with State, Federal or similar contracting rules is preferred. Prior experience with negotiating, developing and or managing contract performance.
