What does a great Office Administrator- Facilities do?
The Office Administrator is responsible for handling all day-to-day facilities issues in a full service leased property. You will be a direct liaison with clients, vendors, associates, security and building management as well as maintain the overall integrity and operational functionality of the office, including standards, aesthetics, and associate safety.
Essential Job Responsibilities:
In this position you will perform the duties associated with the reception desk including:
Signing in guest/visitors.
Ensuring appropriate security protocols associated with guest, vendors and applicants are followed.
Arranging for catering for internal meetings.
Ordering, restocking, and maintaining supplies and inventories for break rooms, restrooms, copy paper, and office products.
Perform routine administrative tasks for Directors including:
Crafting Excel Spreadsheets.
Typing and editing formal letters and correspondences.
Assist on answering tier line calls when available:
Assisting clients with card tracking.
Answering simple client questions.
Assisting with Client Reporting. Complete client deconversions.
Provide facilities support:
Working with landlord/Property Manager on facility issues relating to maintenance, janitorial services, security, parking, moves, adds, and changes.
Coordinating day-to-day local site activities including conferences and special event coordination, associate office moves, adds, changes. Setting up and taking down conference room furniture for special functions. Responding to AV trouble calls.
Resolving coffee and beverage vending issues, ensuring machines are stocked cleaned and properly functioning.

Basic qualifications for consideration:
Minimum of 3 years' experience with administrative support
Facilities support experience
Preferred qualifications for consideration:
Proficiency with Microsoft Office
Strong time management, phone, and interpersonal skills
