About the Position:

Our Fremont site is a Research and Development Center with a small warehouse operation. As an Office Coordinator at E Ink, you will be responsible for coordinating office and facility activities to secure efficiency and compliance to company policies. This would include ensuring the efficient operation of shipping and receiving tasks, assisting in multiple administrative tasks, as well as supporting both the Facilities and R&D teams in document processing, record keeping, and facilitating SOP's. We are looking for someone who is knowledgeable in both domestic and international movement of packages, and who possesses strong communication and computer skills.

Responsibilities:

  • Receiving and Inspecting Shipments: Unload, verify, and inspect incoming goods for accuracy and quality, comparing them against invoices and order reports. Identify packages with chemical contents. Complete receiving transactions in SAP system, maintain receiving document records, and ensure all packages are input, recorded, and dispatched correctly.
  • Preparing Shipments: Package items appropriately, create shipping labels, commercial invoice, and other documents required to process the shipment. Maintain detailed records of outgoing shipments. Coordinate with carriers, suppliers, and internal staff to ensure smooth shipment processes.
  • Documentation: Assist Facilities and R&D in document processing, maintaining records, and facilitating SOP's where necessary.
  • Office Admin: Provide support to office and lab where necessary. Organize and maintain adequate stock levels of facilities, shipping, break room and office supplies.
  • Meetings/Events: Assist and support with meeting arrangements such as set up of meals, drinks, and other supplies, as well as receiving food delivery orders. Order meals based off team requests and scheduled events.

Qualifications:

  • Experience in Shipping/Receiving or a related role.
  • Experience in Office Administration or similar role
  • Intermediate computer skills required, and experience with SAP and Reliance software is a plus.
  • Familiarity with inventory management systems, shipping software, and knowledge of relevant shipping regulations and harmonized codes.
  • Experience with professional meeting setup and placing catering orders.
  • Strong verbal and written communication skills as well as interpersonal skills with the ability to collaborate across teams
  • Strong organization skills and attention to detail
  • Strong problem solving and time management skills

Benefits:

The anticipated base salary for this position is $65-$85K annually for candidates located in the San Francisco Bay Area.
