We are seeking a highly organized and detail-oriented Office Administrator to join our team. The Office Administrator will be responsible for performing a variety of administrative tasks to support the daily operations of the office. Key responsibilities include:

  • Properly in or out-gate any container that enters or leaves the yard, including pictures and description.
  • Ensure Container QA procedures are being followed while verifying gate operations.
  • Review dispatch, dispatch history and Dispatch Planner and double check for missing in-gates and out-gates for assigned yard.
  • Properly enter rental redeliveries into Omni View, including ones needing manual entry.
  • Check mobile dispatch form in Omni View and ensure driver collected signature from customer.
  • Check mobile dispatch form in Omni View and ensure forklift operator filled out the ingate form and noted damages and remarks if applicable.
  • Verify redelivery #'s for all direct deliveries using email search, Omni View or contacting the supplier.
  • Collect all required documentation including time sheets, DVIR's, bill of ladings, trip logs, out of state miles, resale permits, tax exemption certificates and forward or attach in Omni-View as required.
  • Schedule: Manage yard delivery schedule, eliminate conflicts, adjust for efficiency, and prepare and distribute drivers and Yard staff activity sheets in advance to ensure yard has three days to prepare containers for delivery. Manage and enforce drivers' legal hours of service.
  • Contact depots and prioritize and coordinate under the direction of the branch manager the pickup of pending release containers with drivers, dispatch, and equipment control.
  • Coordinate the pickup or redelivery of rental return containers focusing on both cost effectiveness, and time efficiency for the driver.
  • Efficiency: Use all available resources to coordinate daily activities and container movements to meet scheduled delivery/pick up times.
  • Organization: Keep well organized files of documentation including EIR's, time sheets, DVIR's, bill of ladings, meeting notes and invoicing.
  • Inventory: Conduct monthly physical inventory and report immediately to Equipment Control.
  • Safety: Coordinate and document all Yard safety and driver meetings, collect all forward all accident and near miss reports
  • Communication: Continues communication with equipment control, yard managers, suppliers, vendors, drivers and 3rd party transportation providers.
  • Report: Report all accidents/near misses, equipment loss, safety violations, environmental spills before the completion of your shift.
  • Deposits: Process cash receipts and bank deposits for customer payments that arrive at the branch office instead of the corporate office.
  • Order supplies and general office upkeep.

The successful candidate will possess the following skills and abilities:

  • Strong organization skills with excellent time Management and ability to multitask.
  • Excellent verbal and phone skills.
  • Strong computer skills including all Microsoft Office products,
  • Ability to create and manage Excel spreadsheets.
  • Ability to work overtime.
  • Ability to administer a safety compliance program.
  • Positive attitude even under stress
  • Driver's license
  • Reliable transportation
  • Ability to pass a background check.

Minimum Required Education and Experience:

  • Associates Degree OR
  • 2 Years of equivalent administrative experience that includes any of the following: Dispatching, Sales, Transportation, Mechanical, Manufacturing, or Construction

Preferred Education and Experience:

  • Associate's Degree AND
  • 4 years of Administrative experience managing multiple transportation or intermodal assets.
  • Sales Experience

Salary Range: $19-24/hr for a well-qualified candidate
