We're looking for an enthusiastic and organized Office Administrator to join our team. As the first point of contact for Coyote, you'll play a vital role in ensuring a smooth and positive experience for everyone who walks through our doors. You'll wear many hats, handling a variety of administrative tasks while keeping the office running efficiently.
DAILY TASKS & RESPONSIBILITIES (include, but not limited to):
Greet all guests at the front desk.
Notify security of all expected visitors.
Maintain the conference room calendars, set up meeting spaces, and ensure the front lobby is clean and organized.
Be the main point of contact for office maintenance, food and beverage vendors, and event planning.
Sort and deliver incoming and outgoing mail.
Order and organize office supplies, food, and beverages for the office.
Account for and process merchandise/facilities invoices in our PO System.
Manage tasks including parking passes, visitor badges, and business card requests.
Screen incoming calls with a high degree of professionalism, differentiate business calls from solicitations, and respond and route phone requests accordingly.
Organize employee events and keep employees informed about office events, visitors, and news.
Schedule local vendors to come into the office daily/weekly/monthly to support community engagement.
Manage sports team request process (registering teams, ordering uniforms).
Oversee Coyote Store inventory, merchandise orders, and customer merchandise requests.
ESSENTIAL SKILLS & CHARACTERISTICS:
1-2 years of administrative or general office experience
Prior event planning experience preferred
Friendly, outgoing personality with a positive and enthusiastic attitude
Strong organizational skills and a keen eye for detail
Excellent communication (written and verbal) and interpersonal skills
Professional phone etiquette
Proficiency in MS Office Suite (Word, Excel, Outlook)
Ability to prioritize tasks, multi-task effectively, and adapt to changing priorities
Ability to work independently and take initiative
Bilingualism (Spanish preferred) a plus
