Office Assistant/Receptionist needed.

We are a busy Novato tax and accounting firm in need of an office assistant / receptionist.



Responsibilities:
  • *

    Answer phones, manage multiple lines, take detailed messages, schedule appointments

    *
  • *

    Provide administrative support; mailings, filing, scanning, screening calls

    *
  • *

    Order office supplies/maintaining stock (conduct semi-regular inventory)

    *
  • *

    Create and maintain client files

    *
  • *

    Keep client and administrative files organized

    *
  • *

    Manage/oversee accounts receivable and collections

    *
  • *

    Manage/oversee accounts payable and disbursements

    *
  • *

    Maintain/manage software updates and office machines

    *
  • *

    Assist partners with various administrative tasks as needed

    *
  • *

    Assist with processing tax returns

    *
  • *

    Report daily activity to Office Manager and partners

    *
  • *

    Maintain an orderly, smooth-running, professional office environment

    Microsoft Office and QuickBooks proficiency (especially Excel and Word)

VIEW JOBS 11/13/2018 12:00:00 AM 2019-02-11T00:00 The Administrator/CNE, Novato Community Hospital directs and facilitates clinical care and operations throughout the acute care campus. The Administrator/CNE will work in collaboration with the Medical Staff, Chief Medical Executive (CME), and both Nursing and operational management to assure integration among medical staff, nursing, clinical and support services professionals to achieve optimal patient care and internal services excellence. The Administrator/CNE provides leadership direction to ensure compliance with current established policies and strategic objectives while supporting the realization of Sutter's future objectives. Reporting directly to the CEO Sutter Santa Rosa Regional and Novato Community Hospitals, the Administrator/CNE will work in collaboration with Administrative Leadership Team of SSRRH as well as serve as a member of the Sutter Bay Area Leadership Team. The Administrator/CNE is accountable for administration of the quality of care, patient experience, cost effective services and exercises necessary and appropriate authority and accountability for all hospital departments and services. The Administrator/CNE is also responsible for directing patient care efforts through the managers and supervisors of the individual patient care units within the acute care hospital and all clinical services lines. The position is responsible for the managers and supervisors' development and implementation of plan(s) for the unit staffing, program development, oversight of nursing practice, directing and monitoring unit operations, quality improvement programs and sound fiscal management of the departments. The Administrator sets the tone and processes for a culture that rewards leadership, teamwork, innovation and accountability, and promotes productive collaboration among team members of NCH and SSRRH, departments and all other management levels. Education: * Bachelor's degree in Nursing required * Masters in Hospital, Healthcare, Business or Public Administration or equivalent from an accredited college or university * Current licensure as a Registered Nurse in California Experience/Knowledge/Skills: * Prior administrative experience as a hospital administrator or senior healthcare manager and CNE experience * Prior experience in the demonstration of effective communications skills, interpersonal relation skills and ability is required * Must have the proven ability to develop and direct hospital operations and nursing services in the current, competitive healthcare environment * Previous experience in healthcare service line management is desirable * Previous experience in both matrix managed organizations and line management is desirable * Demonstration of effective management skills, knowledge of hospital administration and agency compliance is required * Prior experience at administrative levels with exposure to overall hospital management and nursing practice is required * Extensive knowledge of hospital and health care administration * Must have an in-depth working knowledge of healthcare departments with a strong emphasis on and an understanding of financial management, strategic planning, physician relations, patient care, quality management and human resource management * Demonstrate progressive management ability in providing administrative direction and innovation in multiple entities * Extensive knowledge of hospital operations in acute and non-acute/OP settings in establishing work processes, quality and productivity standards, and policies and procedures designed to ensure optimal department performance * Must be knowledgeable about healthcare law, regulations, accreditation requirements and clinical standard of practice * A comprehensive knowledge of all JCAHO, Title 22, State, Federal, licensing and other local regulations are required * Knowledge of technological advancements, labor saving procedures and equipment for all department specific delivery systems is required * Excellent Team leadership and organizational skills are required * An ability to prioritize multiple demands and projects is critical * Proven written and oral communication skills demonstrating excellent interpersonal skills are required * Written and communications skills, as well as effective human resource skills are essential * Strong interpersonal skills and solid project management experience is required * An excellent background and ability to form strong relationships with physicians, as well as build strong collaboration with nursing and other key departments is required * An ability to build teams, as well as consensus is necessary * An ability to deal with complex situations and a large degree of variation in policies, rules and regulations is critical * Flexibility, adaptability and creativity and innovation are required * Must be a self-starter with a high degree of initiative and ability to work independently * An ability to meet deadlines and implement projects effectively across campuses and departments is an integral part of the work responsibilities * Strong negotiation skills are required * Ability to lead, challenge, and motivate staff * Ability to plan, lead, organize, control and establish an esprit de corps in areas of responsibility * Must have analytical problem solving skills as well as ability to coordinate and communicate effectively with diverse others including colleagues, managers and medical staff and be able to teach and develop others * Must be able to prioritize, make decisions and set clear expectations for others Sutter Health Novato CA
