Office Assistant/Receptionist needed.
We are a busy Novato tax and accounting firm in need of an office assistant / receptionist.
Answer phones, manage multiple lines, take detailed messages, schedule appointments*
Provide administrative support; mailings, filing, scanning, screening calls*
Order office supplies/maintaining stock (conduct semi-regular inventory)*
Create and maintain client files*
Keep client and administrative files organized*
Manage/oversee accounts receivable and collections*
Manage/oversee accounts payable and disbursements*
Maintain/manage software updates and office machines*
Assist partners with various administrative tasks as needed*
Assist with processing tax returns*
Report daily activity to Office Manager and partners*
Maintain an orderly, smooth-running, professional office environment*
Skills and Qualifications:
Microsoft Office and QuickBooks proficiency (especially Excel and Word)*
Ability to work in a fast-paced, stressful environment*
Be well-mannered, professional, detail-oriented, and a team player*
Strong collection skills*
Proficiently manage package shipping (Fed Ex, USPS, etc. online postage accounts)*
Be proactive, show initiative, and have the ability to anticipate problems and propose appropriate solutions*
Very strong critical thinking, reasoning, and problem-solving abilities*
