Job Description:

Boeing's Defense, Space Security (BDS) is seeking an Office Administrator at the B-level to support an engineering team in St. Louis, MO. The team provides technology support to tactical aircraft programs including the F-15 and F/A-18. Specifically, this position provides office administrative support to the Manager of the TacAir Aero Propulsion Team and his team as well as the Loads, Dynamics, and Business Operations teams. Total team size is approximately 80 personnel.

Position Responsibilities:

  • Coordinates day-to-day internal office schedule and reconciles schedule conflicts with multiple other managers utilizing Outlook calendars.

  • Creates, edits, and maintains electronic and written communication including program briefings with high proficiency in Word, PowerPoint, Excel (including plotting and pivot tables), and Outlook.

  • Tracks and maintains information relative to department and business operations.

  • Verbally communicates a wide variety of information to multiple audiences.

  • Processes incoming and outgoing communication and correspondence to ensure proper dissemination of information.

  • Tracks and maintains designated conference room schedules for availability and efficient use of resources.

  • Sets up and runs WebEx meetings bi-weekly and on an as-needed basis.

  • Coordinates with the appropriate focal(s) to support the acquisition and maintenance of resources.

  • Submits visit requests for suppliers and customers

  • Orders and maintains office supplies.

  • Candidate will process domestic and international business travel arrangements, monitor designated business travel logistics, generate expense reports, and assist in reconciling corporate credit card charges to ensure timely and accurate reimbursement and verifies payments to corporate credit cards.

  • Collects and compiles data to provide visibility of status for review and/or signature.

  • Works well in a team environment.

  • Provides guidance to less-experienced employees.

  • Works under minimal supervision.

  • Eager to tackle special assignments.

Qualifications

This position requires the ability to obtain a US Security Clearance, for which the US Government requires US Citizenship.

Basic Qualifications (Required Skills/Experience):

  • Creates, edits, and maintains electronic and written communication including program briefings with high proficiency in Word, PowerPoint, Excel (including plotting and pivot tables), and Outlook.
