This position is responsible for the maintenance, security, and flow of records, documents, forms, and patient files through the records unit and to other internal and external stakeholders. This position processes court orders; provides assistance to patients, institution staff, attorneys, law enforcement agencies, courts, other agencies, management staff, and the public regarding procedures related to patient movements, visits, and legal document copy requests; scheduling all patient professional visits and telephone calls; and processing the patient annual re-exam paperwork and reports.
In addition, this position coordinates the release of patient information; performs technical treatment record functions; maintains active and inactive patient permanent charts; reviews treatment records for accurate patient name and completeness; and processes admission, treatment, and discharge information according to Ch. 980.
Due to the nature of these positions, all applicants will be required to allow the DHS to conduct a background check to determine whether the circumstances of any convictions may be related to the job being filled.
All appointees will be required to receive a TB test, which will be administered by SRSTC or medical personnel approved by the facility prior to their start date.
Minimally qualified applicants will have:
Experience working with a variety of computer programs such as: Microsoft Office Products (e.g.,Word, Excel, Access, Outlook etc.), including creating databases and spreadsheets
Experience providing customer service/support (e.g., directing phone calls, gathering information, answering questions, providing instruction, serving as a liaison, resolving customer complaints/conflict, etc.)
Experience maintaining a record system (e.g., data collection, data entry, maintaining a filing or tracking system, providing data or records in response to records requests)
Ability to type at least 45 words per minute (A typing test will be required)
Well qualified applicants will have:
Experience working in an environment that handles sensitive or confidential information such as: healthcare, government, etc.
Experience applying organizational/time management skills in order to prioritize and complete assigned tasks efficiently
Experience maintaining positive working relationships by utilizing effective oral, written and communication skills
