The OT Coordinator will act as the first point of contact to the therapists and physician care teams to manage patient care while providing excellent service. Assist occupational therapy team with patient care, minor operations, coordinate meetings, assist in hiring process for OT PSRs.
This is a full-time position working M-F between the hours of 7:30 am

Essential Functions:
Operate as a liaison between OT managers, OT PSR's, and Hand MD Care Coordinators to ensure quality and efficiency of patient service
Accurately and efficiently schedule new and existing patients in the current practice management system
Verify and document insurance information as defined by current business practices
Maintain manager and staff schedules by planning, scheduling and blocking time in PM system
Responsible for making sure each clinic is appropriately staffed without overlapping PTO requests
Readily communicate with the therapists in the department to update on schedule changes in order to maximize efficiency in the delivery of patient care
Attend regularly scheduled staff meetings for the clinic and therapy department and provide summary to staff
Meet regularly with OT managers for assignment and collaboration on specific projects
Create, maintain and analyze weekly reports with manager to ensure the needs of the clinic are being met
Assist with interview process for OT Coordinator and OT PSR positions
Train new OT Coordinator and OT PSR staff on all processes related to therapy scheduling, chart management, patient service and quality
Assist OT managers by maintaining consistent training policies and procedures
Assist OT managers with opening new clinic spaces and/or staff expansion/onboarding
Assist in implementation of the processes agreed upon by the OT management team
Work with OT managers to continue to improve OT revenue and growth throughout the Department
Serve as a resource by being seen as a PACE "Super User"
Maintain timely communication with patients and families while in clinic/surgery center
Manage supplies by analyzing inventory, ordering required items and replenishing items upon arrival
Ensure cleanliness of exam rooms and treatment space
Organize and distribute patient education materials
Inspect and coordinate equipment repair as needed
Any and all other duties as assigned
Education and Experience Requirements:
High School diploma/GED or equivalent; Associates Degree or greater preferred
Customer service experience required, Administrative or Medical Office experience preferred
Maintain a working knowledge of health care plan requirements and health plan networks
Proficiency with Microsoft products
Essential Requirements:
Ability to:

Demonstrate prompt and reliable attendance
Work in the clinic, office or surgery center during business hours
Travel independently throughout the clinic, office or surgery center (which may include movement from floor to floor); frequent bending, lifting, standing, stooping or sitting for long periods of time may be required
Work at an efficient and productive pace, handle interruptions appropriately and meet deadlines
Communicate and interact in a respectful and professional manner
Prioritize workload while being flexible to meet the expectations of the daily operations
Apply principles of logical thinking to define problems, establish facts, and draw valid conclusions
Understand and execute a variety of instructions
Effectively operate equipment and communicate on and operate the phone system
Work independently with minimal supervision
Travel to other work locations, if required
