The Occupancy Specialist is responsible, under the direction and supervision of the Compliance Director, to provide key occupancy-related services for Related-managed affordable and workforce housing sites located in Boston, in accordance with regulatory program and agency requirements, company policies and procedures, and all applicable Fair Housing Laws.

Related's affordable and workforce housing sites in Boston, MA, are seeking an Occupancy Specialist to join their team. This role is responsible for maintaining resident and applicant files in accordance with program policies and ownership obligations while optimizing the program to best meet the needs of the residents and greater community.
This individual must be detail-oriented and have the ability to operate on a deadline-driven schedule. The ideal candidate would possess strong organizational, analytical and problem solving skills and can adhere to the guidelines set forth by the program's regulatory requirements in a fast-paced environment. The individual would feel comfortable appropriately handling confidential information. The anticipated schedule will be standard office hours on weekdays with a reasonable expectation of overtime and/or weekend hours, if required, during heavier workload and lease-up periods.
The Occupancy Specialist role will coordinate all aspects of the affordable housing and workforce certification requirements across multiple sites, including but not limited to:
Recertifying all current households in accordance to regulatory agreements, including coordinating associated administrative tasks such as scheduling, mailings and verifications
Processing new applicants for program eligibility, including coordinating associated administrative tasks such as scheduling, mailings and verifications
Fielding inquiries regarding rentals and process accordingly
Communicating with and processing applications from referral agencies for affordable housing programs
Coordinating with and completing paperwork for voucher agencies for applicants and residents as needed
Generating leases for new applicants and participating in leasing processes, including lease signing
Generating timely lease renewals for existing residents
Submitting completed files to third-party review agencies
Participating in tax credit reviews by outside entities and agencies
Maintaining daily and weekly recertification and vacancy reports
Developing a full understanding of program related documentation, such as Regulatory Agreements, Tenant Selection Plans, Affordable Fair Housing Marketing Plans and practices
Maintaining primary responsibility for waitlist updates, data entry, maintenance, and clean-up projects
Compiling with Fair Housing regulations
Generating letters for and scheduling interviews and recertification appointments
Fully processing and completing initial certifications and annual recertifications for different programs across sites
Handling all income calculations for tenants and third-party verifications
Processing changes to household composition
Maintaining primary responsibility for updating website and marketing materials as waitlist analysis determines
Participating in and assisting with the initial-lease up of any new properties, including but not limited to fair housing lotteries, waitlist management, and applicant interviews
Additional duties as assigned
Graduate of an accredited college or university with a bachelor's degree, preferred
Minimum of one to two years' experience in affordable housing, leasing and recertification processing for LIHTC, Section 8, and/or other affordable program(s) within a Class A multi-family property
Proficiency in Tax Credit rules and regulations with a working knowledge of state and federal housing regulations strongly preferred,
Nationally-recognized tax credit certification (e.g., TaCCs or TCS) preferred, but will consider a candidate with a demonstrated capacity to comprehend LIHTC rules who is also willing to apply for such certification within a reasonable time frame
Strong knowledge of Fair Housing regulations
Must possess impeccable organizational skills, strong attention to detail and the ability to prioritize work and to multitask while adhering to deadlines
Must be comfortable in a fast-paced environment and with handling confidential information
Proficient in managing an internal applicant database; affordable housing waitlist experience preferred
Strong communication and analytical skills
Creativity and initiative to work both independently as well as within a team while able to perform in a multi-tasking work environment
Experience with Yardi, One-Site/Real Page (or other housing software)
Proficiency in operating the Microsoft Office Suite; including excellent Microsoft Excel skills
Superior customer service skills required, experience in luxury property management, hospitality or other comparable area preferred.
Proficiency in Spanish or languages a plus
