The Occupancy Planning Team is responsible for all space, lab and garage planning within the Commercial Portfolio. This position's duties include working in a fast-paced environment consistent with handling multiple demands and priorities supporting the Planning Team, Project Management Team and Master Planning. Position requires employee to be a self-starter, require minimal supervision, and have good judgment and good decision-making skills.
The Planner will be responsible for a variety of duties including:
Manage move approvals through the Archibus database
Management of building spaces and move coordination
Follow-up and relocate non-tenants (Deep Dives)
Perform and/or assist with Utilization Studies
Floor Coordinator meetings
Generic ID Email Monitoring (insert generic ID)
Support all Daily Churn activities from routing to close out including issue resolution
Group Move Forecasting and link creation
Support all Group Move activities from forecasting to close out including issue resolution
Group Move Implementation (Physical Move Supervision)
Group Move help desk
Building occupancy data knowledge including skill teams and capacities
Quarterly Building Audits
Space & Occupancy Planning:
Coordinate and execute space planning and occupancy efforts for Product Development team
Ensure space assignments and plans are consistent with Organizational Drivers
Prepare AutoCAD drawings and space concept design plans
Maintain space plans, seating and stacking charts/plans
Conduct building audits to verify employee locations, furniture layouts and configurations are correctly noted on floor plans. Extensive field investigation to support data integrity.

Gain and maintain an understanding of customers' organizational design and business plans that will influence accommodation needs.
Meet with Management on a regular basis to understand seating needs and plan accordingly.
Support the facility planning functions to ensure business assets are properly allocated, maintained and managed in an efficient manner
Support project close out process including CAD updates and move data updated in Archibus
Ensure proper Integrated Workplace Management System (IWMS) and Computer Aided Facility Management (CAFM) updates are made and site data is complete after project completion.
Process Improvements and Documentation
Design, develop and obtain costs for customer driven space solutions. Including, but not limited to the following:
Lab Build outs
Office / Conference room conversions
Storage Room Build outs
Coordinate with Vendors
Project Close Out
Space programing data gathering
Space layout and design
Identify customer project goals, size, and space requirements.
Support master planning initiatives.
Create preliminary space plan and scope of work based on customer project intent.
Gather information to be used for estimation purposes
Bachelors' Degree in related field required
Demonstrated Ability to overcome obstacles / barriers to success.
Experience in systems furniture
High level of Proficiency in Microsoft Excel, PowerPoint and Word
Extensive attention to detail to ensure audit compliance.
Ability to work in a fast-changing dynamic environment
Ability to manage projects requiring global team input, including solicitation for information and required follow-ups.
Strong leadership, interpersonal and negotiation skills. Works well with others at all levels. Extensive Management interface.
Ability to manage time and workload effectively which includes planning, organizing, and prioritizing multiple tasks with conflicting deadlines.
Strong skillset required in Space Planning, needs to understand tactical and strategic planning strategies and principles
Understand and adhere to government and site building codes/Client Space Standards

Work hours are normally 8 hours per day and 5 days per week, Monday-Friday. Regular attendance of scheduled hours is extremely important. Punctuality and regular attendance are necessary. Must have flexibility of work days to cover weekend requirements.
