Position Overview:

The Occupancy Planner will report to the Senior Manager of Space and Workplace on the Facilities Space Planning team. This position will be based in Cambridge, MA and support all of FMI's lab and office sites. This position will focus on day to day space planning activities and will play a critical role to support longer-term space planning forecasts and strategies. The right candidate must be a team player who can think creatively and out of the box to problem solve. Job Description:

The Occupancy Planner will work with the Senior Manager of Space and Workplace to developing space strategies and metrics, as well as to produce accurate headcount forecasts. The Occupancy Planner will also support the new hire seat assignment process, coordinating with Human Resources and utilizing ServiceNow. In this role, you will oversee the development and maintenance of as-built drawing inventory and CAD standards. This position will champion process improvements, space data integrity and workplace standards to help ensure FMI has an effective workplace strategy. He/She will be comfortable working with a team of internal and external key stakeholder, leveraging strong communications, project management, and stakeholder engagement skills.

Responsibilities:

  • Provide data analysis, information, and assist with recommended solutions regarding capacity constraints, emerging constraints, and underutilization using space planning tools.

  • Work with Senior Manager of Space and Workplace to collect headcount forecasts, resolve discrepancies and review and resolve real estate planning forecasts. Track and report projected verse actual seat counts.

  • Ensure report accuracy and space data accuracy using Excel and iOffice.

  • Develop test fit drawings for office and lab spaces including furniture and lab casework to support projects.

  • Develop and improve space planning reports and dashboards in Service now, Maximo, iOffice.

  • Oversee new hire seat assignment process, working closely with internal stakeholders.

  • Responsible for maintaining and assist in developing AutoCAD as built drawing inventory and enforcing drawing standards.

  • Assists and participates in company-wide workplace strategies. Ensure planning is aligned with corporate guidelines. Recommends, educates and enforces space policies and standards, procedures and protocols.

  • Stays up to date on industry trends for space utilization, mobility, health and well-being, and sustainability.

  • Responsible for the organization of workspace into iOffice, making sure all plans and seat arrangements are current and accurate.

  • Perform space utilization studies and supports in as built space audits.

  • Develops and maintains effective relationships with vendors and internal business partners.

  • Travel up to 25% or one time per month, primarily domestically.

Qualifications (Position Skill Set):

  • Minimum Bachelor's Degree in Business, Facilities, Architecture, Construction Management, Design, Real estate or related field is required; along with a minimum of 5 years of experience in a corporate environment.

  • Understanding of space utilization and management. Previous experience in space/occupancy planning position, biotech/pharma environment, interior office renovations is highly desirable.

  • Proficient in iOffice or familiar with using CMMS/IWMS or other CAFM programs.

  • Proficient in Autodesk Autocad to produce test fits and square footage calculations.

  • Knowledge of the design process, furniture systems and specification.

  • Strong working knowledge of Microsoft Office, Excel.

  • Knowledge of Microsoft Project and Bluebeam Revu is a plus.

Position's Goal To manage the supply, capacity and demand of a building, campus or region portfolio of space for a specific client at the business unit level. Deliverable Role/Responsibilities Within the portfolio, can answer: how much space is currently available, what are the workplace conditions, and what are headcount projections by business unit?
