This position performs varied and complex administrative and support tasks critical to the operation of the Nursing Department (500+ employees) at Mendota Mental Health Institute. This includes institutional-wide scheduling; position control; ensuring compliance with all Department and Institute policy requirements; orientation of float pool staff; coordination and determination of priorities for using department office paraprofessional staff including scheduling of Nursing Office Driver staff and coordination of medical appointments for patients; and provides a pivotal communication role between unit management, program nursing supervisors and nursing office supervisors. This position provides administrative support to the Director and Deputy Director of Nursing. This position is responsible for complex and essential data collection, records management, hiring coordination for health care staff, timekeeping, staff scheduling for 15 units, and program support services for the Director of Nursing.

Special Notes:

Due to the nature of these positions, all applicants will be required to allow the Department of Health Services to conduct a background check to determine whether the circumstances of any convictions may be related to the job being filled.

All appointees will be required to receive a TB test, which will be administered by MMHI or medical personnel approved by the facility prior to their start date.

Qualifications:

Minimally qualified candidates will have:

  • Experience providing administrative support including emailing and typing correspondence, responding to inquiries, record keeping, and/or assisting with updating procedures.

  • Experience entering information into a database or spreadsheet or verifying data in a computer program.

  • Communication, time management, and organizational skills.

Well-qualified candidate will have:

  • Experience performing staff timekeeping functions such as reviewing staff schedule changes, using a staff scheduling program (e.g. Atlas), reconciling timecards and reports, etc.

  • Experience working in a hospital, medical clinic, or similar 24/7 facility.

  • Experience working with confidential information and maintaining confidentiality of sensitive information
