Support admissions, on-boarding, tracking and compliance monitoring and clinical placement within School of Nursing. These services include assisting with School of Nursing admissions process, nursing student orientation, tracking of status through the curriculum, and compliance with campus and school policies and accreditation standards.

Support admission, onboarding, progression and compliance in the School of Nursing. These services include School of Nursing admission processes, nursing student orientation, tracking, compliance monitoring, and clinical placement processes to support with campus, school policies, agencies requirements and accreditation standards.

Maintains most current knowledge of nursing program admission criteria, application process, and program handbook.

Assign advisees to faculty and maintain records of faculty advising assignments.

Assists with faculty credentialing documentation and compliance with credentialing requirements.

Works with Department Chair to support work tracking of Admission, Progression, and Graduation (including ongoing record keeping, number management and assistance with registration processes).

Maintain student records in compliance with campus and school policies and accreditation standards.

Daily/weekly review compliance management database and notify students and faculty of missing records and upcoming immunization, background check and drug screen renewals.

Enters NCLEX-RN and NCLEX-PN test results into the college student data management system.

Verify transition student's licensure and/or certification for transition applicants upon admission or renewal.

Prepares Nursing Faculty Meeting Minutes. Supports dean, chairs and faculty in report submissions and agenda development.

Support faculty with document retention and student files when needed.

Support and maintain minutes of Student and Faculty Advisory meetings.

Supports events of the School of Nursing (including but not limited to advisory meetings, student recognition activities, and other events) when needed.

Student Success

Maintains student program communication organization in IvyLearn, including resources

materials, and announcements in collaboration with the Dean of Nursing and nursing

faculty.

Prepare certificates of completion for dean signature and mailing to state board of

nursing.

Schedules student appointments with nursing faculty and dean of nursing as needed.

Support faculty in student success activities, scheduling appointments, room

reservations, etc.

Provides information to assist students in accessing student support activities, tutoring and resources.

External Relationships

Develop and maintain relationships with area clinical settings and institutions of higher

learning to ensure continued success of all School of Nursing programs related to

clinical placement, affiliation agreements and compliance requirements.

Assist dean with development and maintenance of clinical affiliation agreements.

Prepares Nursing Advisory Committee meeting invitations, communication, and minutes.

Nursing Admissions and Progression

Provide information regarding the admissions applications.

Support Department Chair in scheduling of nursing information sessions.

Respond to calls, emails, and other communication regarding nursing admission.

Provides most current information on how to schedule ATI TEAS testing.

Support Department Chair in registration processes, communication/correspondence with

students, nursing student orientation, health record requirements, background checks,

drug screening, and other compliance requirements.

General Responsibilities for School of Nursing and Health Sciences

Participates in shared front desk coverage for Schools of Nursing and Health Sciences to support the designated office hours. Must be flexible to meet needs of the School of Nursing (there may be early hours or late afternoon/early evening hours depending on activities or events).

Work within Workday to support the department including ordering of equipment, supplies, assistance with travel and other expenditures.

Maintains effective office procedures and efficient work flows; implement policies and

procedures set by Ivy Tech; establish and maintain professional relationships with all

employees, students, and college contacts.

Reads, understands and verifies completeness of forms for all programs in the department and provides proper forms electronically to students.

Maintain an appropriate inventory of necessary digital forms, ensuring professional

appearance of outgoing documents.

Answers phone and direct calls to appropriate individuals and departments, make

accurate appointments and activities on calendars. Determine priorities for providing

information or referring to other staff members.

Assists with records on office supplies and lab equipment. Maintain, operate, and

troubleshoot office equipment.

Assists faculty with campus room reservations and other requests as needed.

Other duties as assigned.

Minimum Qualifications: Associate degree and/or Bachelor's degree preferred.

One (1) year clerical experience. Two (2) years of experience in applicable student support role.

Strong keyboarding and computer skills; knowledge of various software packages

required (such as Microsoft Word, Access, Excel, PowerPoint, Google Docs)

Excellent organizational, communication, human relations, and self-directed work

skills within a team environment and ability to keep information confidential.

Dependable, responsible, willingness to work and learn, and excellent human relations

skills.

Ability to keep information confidential.

Medical terminology knowledge preferred
