Description of Job

GENERAL SUMMARY

The Community College of Denver's Testing Center is the largest testing center in the Rocky Mountain Region, is National College Testing Association (NCTA) accredited, and is centrally located in downtown Denver. The Testing Center services are at the crux of where student success and professional certifications intersect as it serves both the CCD and the Denver workforce communities.

The Testing Center is primarily is responsible for secure test administration and professional proctoring. The Testing Center services include placement testing, CLEP, DSST, DANTES, PearsonVUE, Scantron, National Testing Network (NTN), HiSET, PriorLearning Assessment (PLA) Exams, academic class testing (CCD and other colleges/universities), "high stakes" testing for ETS (GRE/Praxis...), American College Testing (ACT) and other companies or outside 3rd party proctoring.

The Testing Center is a collaborative space and strives to achieve a comfortable and secure environment for testing activities.

The purpose of the Test Site Coordinator is to collaborate with the Testing Center team in the coordination of all testing site administration duties for CCD students and community members. This position is part of a dynamic team of full time and part-time staff and reports to the Director of Student Learning Support and Testing.

Testing site administration includes providing testing services for vendors, CCD and other educational institutions, business and corporations, proctoring all exams as well as serve as an IT and customer service liaison with CCD IT and our vendor partners. The Test Site Coordinator is responsible for the oversight and management of test administration, staff certification tracking, site compliance, security of testing materials and equipment to include computers and software, ensures all testing policies and procedures are followed, participate in tracking expenses, help maintain relationships with our internal and external stakeholders, assist in the hiring, training, scheduling and direct supervision hourly and work-study staff. Test Site Coordinators are part of a team that work flexible hours to include opening and closing shifts as well as Saturday and evening testing based on business needs.

PRIMARY DUTIES

Test Administration/Coordinate Testing Activities

a. Coordinate the following:

i. Communicate with external faculty, testing staff, students, and vendor representatives

using verbal and electronic methods

ii. Check -in and administration of all vendor or outside agency exams

iii. Process all completed exams and return or upload in a timely manner

iv. Monitor testing sessions to ensure adherence to policies and procedures, and that a

climate of good customer service is maintained

v. Implementation of new programs

vi. Coordinate all in-person, vendor, and distance testing along with any related expenses

b. Collaborate with the following:

i. Faculty and staff to arrange testing for classes including special groups, as needed.

ii. Participate in college wide committees and groups representing the needs of the

Testing Center.

iii. Participate in professional development and professional association opportunities

iv. Stay current on knowledge of testing procedures and policies and with certifications.

v. Research new vendors and oversee the implementation and training of new exams

vi. IT department to ensure vendor software updates are completed and working properly

vii. Collaborate with faculty and arrange testing for classes including special groups, as

needed

c. Oversee the following:

i. All CBT and Proctors or Front Desk staff

ii. Saturday and evening testing as determined by business needs

iii. Communicate with testing agencies regarding clarification of testing procedures,

trouble-shooting problems/equipment/software, and ordering materials

d. Maintain the following:

i. Distance Testing policies and procedures, revising or drafting new policies and

procedures when necessary

ii. An appropriate testing environment free from distraction

iii. Security of all tests, materials, and equipment

iv. Website content related to Distance Testing services

v. Testing hours through Register Blast schedule system

vi. Vendor schedules

Staff Management

a. Recruit, onboard, train and manage testing center hourly part-time staff

b. Create staff schedules, monitor attendance and maintain daily, weekly, monthly

scheduling to ensure proper coverage for business trends

c. Manage part-time staff payroll and timesheet submissions to include MSU/UCD

d. Conduct and document daily observations and team trainings

e. Coordinate monthly feedback sessions with team members

f. Communicate effectively, provide coaching and implement disciplinary actions when

needed

g. Maintain policies and procedures related to staffing, revising or drafting new policies

and procedures when necessary

Office Responsibilities

a. Proficient in the following:

i. Operation of standard office equipment including phones, print/fax/scan/copy

machine, CashNet, and RegisterBlast, and Office 365.

ii. Operation of various computerized testing programs and scoring equipment.

iii. Operation of all computer programs including Banner, scheduling software,

spreadsheets, word processing, cashiering program, business accounting software,

database, e-mail, and internet programs

iv. Production of letters, memos, forms, and other office documents

v. Organization and back-up of personal computer files and data

Fiscal Responsibilities

a. Manage distance, offsite, and vendor testing related expenses

i. Work closely with Operations Specialist and Cashier's Office to ensure all EFT

payments are documented and ensure proper invoice charges

b. Coordinate data collection, input, and reporting for the weekly and monthly reports

Other duties as assigned such as but not limited to assisting with Testing Center Meetings, CCD events, Committee work, professional development.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

MINIMUM QUALIFICATIONS:

Any equivalent combination of education, experience, knowledge, skills, and abilities.

Education:

  • Bachelor's degree.

  • Consideration for bachelor's degree equivalence: Associate's degree from an accredited institution (psychology, education, special education or other related field) and either 1 year as a full time professional proctor or 2 years of part time professional proctoring.

Experience:

Two (2) years' experience working directly with students or customers in a service oriented setting (education, testing, administrative assistance...)

Knowledge/Skills/Abilities:

  • Understanding of standardized tests and testing procedures.

  • Basic accounting principles and money handling best practices.

  • Basic computer hardware and software knowledge as well as troubleshooting.

  • Organization, prioritization and time management skills.

  • Attention to detail.

  • Presentation skills.

  • Excellent oral and written communication skills.

  • Proficient in producing documents such as memos and letters.

  • Ability to work collaboratively and build relationships in a diverse work environment.

  • Ability to provide effective feedback and constructive criticism.

  • Ability to exercise independent judgment and use critical thinking skills.

  • Demonstrated initiative and innovative thinking.

  • Effective building cross-cultural and cross-generational relationships such as with age, individuals with a disability, racial, ethnic, socioeconomic, and LGBTQ communities.

PREFERRED QUALIFICATIONS:

Knowledge/Skills/Abilities:

  • Understanding of NCTA and RMCTA guidelines.

  • Knowledge of the Banner system.

  • Prior experience in professional or educational testing center.

Equipment Used:

Computer, fax, phone, copier, register.

Other Considerations:

This position works in an environment that requires flexible office hours and directly serves clients in person. Must be able to make critical decisions and judgments on own, plan and organize tasks bringing them to completion, initiative to learn and grow with the job, able to work some evenings and Saturdays, and to travel to off-campus sites
