Under general supervision, performs daily work assignments for the Administrative Division of the Municipal Courts Department, in accordance with the Employee Manual, Department Policies and Procedures, City of Alamogordo Ordinances, and any applicable State or Federal authority.

  • High school diploma or equivalent;

  • One (1) year of experience performing clerical and public contact duties;

  • No record of felony convictions or other convictions involving moral turpitude; and

  • Valid New Mexico Driver's License, or the ability to obtain within 60 days of employment, with a driving record acceptable to the City of Alamogordo (valid out-of-state license may be considered);

  • Or any equivalent combination of education, experience, and training that provides the required knowledge, skills, and abilities.

  • Prepares correspondence and maintains records;

  • Assists in the coordination of court matters with defendants, defense counsel, City prosecutor, police department, jail, alcohol agencies, and other levels of the criminal justice administration system;

  • Initiates related paperwork as needed by defendants to facilitate their response to a citation or complaint;

  • Receipts, deposits, and accounts for monies for fines, forfeitures, and other court receipts;

  • Responsible for taking deposit bag to City Cashiers each day;

  • Receives, logs, and indexes incoming filing, citations, and complaints;

  • Responds to counter, telephone, and written inquiries;

  • Processes all incoming and outgoing mail;

  • Processes Failure to Pay, Failure to Comply, and Failure to Appear notices;

  • Constructs new case files, filing and retrieving documents as necessary;

  • Prepares and maintains appropriate calendars, sets up court hearings, facilitate virtual appearances;

  • Processes requests for criminal record checks;

  • Responds to requests from Municipal Judge, City Prosecutor, Police Department, and others for assistance and information from the office;

  • Performs a variety of courtroom related tasks such as opening court sessions; 

  • Performs courtroom processing on court management software;

  • Performs data entry on traffic citations and criminal complaints;

  • File stamp all incoming paperwork;

  • Contributes to a high-quality work culture through participation in training and mentoring to develop skills, including safety related training and skills;

  • Interacts professionally and provides excellent customer service to all levels of City staff and citizens, to ensure high operational and service standards; and

  • Performs duties in accordance with the Employee Manual, Department Policies and Procedures, City of Alamogordo Ordinances, and any applicable State or Federal authority.

OTHER IMPORTANT DUTIES

  • May serve on a variety of employee committees;

  • May be required to travel and spend time overnight at other locations for training and conferences;

  • Must obtain and maintain required license(s) and/or certification(s);

  • Maintains the confidentiality of information obtained during the performance of duties; and

  • Performs such other duties as may be assigned.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

Knowledge of:

  • General office procedures; 

  • Legal language and legal procedures;

  • Basic bookkeeping procedures; 

  • Departmental policies and procedures; and

  • Knowledge of proper cash handling procedures.

Skill/Ability to:

  • Demonstrate proficiency in both oral and written communication; 

  • Understand and follow instructions;

  • Perform tasks and other daily activities in a positive and professional manner alongside employees of varied backgrounds and personalities;

  • Attend work, as scheduled and on a regular basis, to effectively perform the position's essential duties and responsibilities;

  • Exercise common sense and good judgment in the performance of essential duties;

  • Maintain accurate records;

  • Type and enter data accurately;

  • Receive cash, make change, and balance accounts accurately; 

  • Perform simple mathematical calculations; 

  • Operate standard office equipment including computers using Word, Excel, and data inquiry software, audio/visual equipment and scanning equipment;

  • Establish and maintain effective working relationships with co-workers, city department heads, financial institutions, collection agencies, and the general public; and

  • Maintain confidentiality in daily operations.

  • Noise level in the work environment is usually quiet;  

  • Frequently required to sit, talk, or hear, walk, use hands to finger, handle, feel, or operate objects, tools, or controls, and reach with hands and arms;

  • Specific vision abilities required by this job include close vision and the ability to adjust focus;

  • May be required to stand or bend over for long periods of time; and

  • Lift and/or move items weighing up to fifty (50) pounds; the lifting of any object greater than fifty (50) pounds by a single individual is prohibited. Lifting objects, materials, or equipment weighing more than fifty (50) pounds requires the buddy system or the use of devices designed to assist with lifting or moving. Proper lifting techniques shall be used when lifting items of any weight.
