The Move-in Coordinator (Sales Coordinator) is responsible to make a compelling difference in the lives of our residents through providing excellence and innovation in aging services. The Sales Coordinator is responsible for supporting the sales process for Independent Living (IL), Personal Care (PC), and Skilled Nursing (SNF) at one Wesley Enhanced Living community. This individual must be able to assist the Sales Manager and Care Transition Manager in the creation, management, and implementation of new lead generation programs at the communities, the processing of required documents for resident move in's, as well as compilation and analyses of marketing and sales reports. Significant interaction with prospective residents and family members for a wide variety of issues prior to move in, to assure a smooth move in process for new residents.

Sales Coordinator essential duties and responsibilities include, but are not limited to:

  • Maintain prospect database including data entry, transferring leads, and generating lead, tour and move in reports as needed

  • Mail and email brochures to prospective residents & maintain supply of literature for use throughout the building & for mailings

  • Assist in creation, planning and implementation of community open houses, events and senior club luncheons; follow up, gather data and compile feedback post event.

  • Assist Sales Manager with prospect tours and lunches at open houses

  • Assist Sales Manager and conduct follow up calls to lead database on a regular basis, with goal of setting appointments for Sales Manager

  • Implement community outreach follow up phone calls/emails as directed by Sales Manager

  • Create and maintain all resident records in WEL PointClickCare system.

  • Prepare all new resident independent and personal care contracts including but not limited to working with Sales Manager to coordinate all aspects of pre move-in paperwork with physicians, families and facility staff, and follow up on all documentation to ensure completion and accuracy; preparing files and move in collateral.

  • Communicate all move in progress/updates to community staff

  • Verify details and organize actual physical move in for new resident with community staff; coordinate with hospitality committee to assure seamless transition for new resident

  • Maintain detailed and accurate records for all IL, PC, and SNF residents: move-ins, outs, transfers, in-house moves, changes in level of care, etc.

  • Create and maintain all resident records in WEL PointClickCare system.

  • Coordinate all in house moves with residents, families and moving/packing services.

Related Experience: 2+ years' experience in a sales or marketing support role, with demonstration of progressively increasing responsibilities and growth

Education or Degree Requirement: Bachelor's degree in business administration or marketing preferred

Licenses, Certifications, Registrations: Valid Driver's License with current Car insurance

This position is responsible for capturing biometric data including electronic fingerprints according to the requirements of vendor and state regulations. Provide exceptional member and client experiences. Effectively represent AAA products and services, in a manner that will build repeat business and generate sales. AAA products and services include, but are not limited to, Automotive, Banking/Financial Services, Discounts, Insurance, Membership and Travel. This is a part-time position, up to 25 hours per week to include 2 Saturday's per month. At AAA, your success is our success. What we offer: * A Competitive hourly rate starting at $15.00 - $17.50/hour, depending on experience * 401(K) plan with company match * Educational Assistance * Paid Time Off * Free AAA Premier Membership * Health Advocate What you will be doing: * Capture biometric data including electronic fingerprints according to the requirements of vendor and state regulations. * Verify the applicant's government issued photo identification documents to ensure they are valid match to the individual prior to providing fingerprinting services. * Collect fingerprints and biographic information from Applicants. * Scan/transmit applicant information, fingerprints, documentation and biometrics using the computer equipment provided in accordance with program requirements. * View and print appointment schedule using web-based application. * Complete electronic reporting to vendor of successful completion of transactions, including a unique identifying number assigned. * Make and maintain complete and accurate copies of transactions. Protect customers' confidentiality and privacy in accordance with AAA Club Alliance and state specific regulatory requirements. * Total quality control review of all applications for completeness, compliance and accuracy. * Interface with helpdesk to resolved technical difficulties. * Maintain confidentiality and secure customer data. * Conducting other administrative duties as needed to support program requirements. * Sell and represent AAA products and services in a manner that will build repeat business and generate sales of Membership, Financial Services products and generate Insurance referrals. * Use established sales and service techniques to improve member/client retention, to meet or exceed quality standard scores, and to meet established productivity goals. * Counsel potential members on the benefits and services of various membership plans with a concentration on selling Plus, Premier and auto renew. Conduct Membership Review for existing members, update and upgrade plans as appropriate and assist the member in understanding the value of their membership. * Implement process improvement as needed. * Other duties as assigned. What we need from you: * High school diploma or equivalent; Associate degree preferred or work experience in lieu of degree. * 2 years of previous sales, and/or customer service experience. * Must maintain a satisfactory criminal history, as well as meet all state-specific legal requirements for this job. * Must complete initial and on-going training and vendor background requirements. * Ability to obtain Notary Public designation; if required. * Hold a valid driver's license if travel between locations is required. * Excellent customer service skills, including problem resolution. * Ability to learn, retain and communicate State specific Regulations required to complete client transactions. * Ability to successfully complete all required departmental and vendor training workshops. * Must meet acceptable quality level measurements. * Ability to use inductive thinking to handle multiple tasks. * Effective oral/written communication skills. * Ability to handle multiple activities, requiring the application of a substantial variety of policies and/or procedures to be used in combination. * Excellent customer service and communication skills (oral, written and listening) to enable accurate completion of assignments, proper handling of complex transactions, and constructive interaction with others. * Ability to work in a multifaceted team environment while being detail oriented and organized. * Proficient in the use of Microsoft Office, Word, Excel, Internet, and competent keyboarding skills to accurately and efficiently complete daily work assignments. * Above average computer skills with the ability to conduct basic troubleshooting on hardware and software.
