Reporting to the Branch Controller, the Sales & Billing Assistant provides sales and marketing support to the sales staff as well administrative support to the Branch Controller.
Assist with administration of SalesForce (CRM database) including client record set-up and maintenance, verify/add leads to database and distribute to sales team
Regularly inspect the sales pipeline, activity of sales teams and provide feedback to Account Executives as to the status of that activity versus requirements
Manage incoming sales calls/leads and insure follow-up through sales management
Partners with Account Executives in gathering data and research for new/prospective clients
Manage process for introducing/signing new clients to MNS programs
Assist with creating sales estimates and agreements
Gather forecast information from the sales team. Create forecast reporting for the Account Executives. Compare the forecast provided to headquarters throughout the month and work directly with the sales team when corrections are needed.
Support and assist with branch-sensitive issues and confidential information such as sales quotas and internal sales compensation issues
Coordinate with Operations to manage post sales cycle updates to include delivery, billing and other pertinent information
Assist with marketing campaigns and mailings to increase sales leads and raise awareness of MNS services
Collateral material/accessories management includes stocking and maintaining brochures and assembling kits for sales meetings
Assist with marketing and customer events as requested by leadership
Assisting in the implementation of sales promotion programs/activities
Responsible for customer service support issues including billing, job status and customer inquiries as well as with assisting with accounts receivable resolution
Assist with weekly time & expense approvals as well as weekly time reporting
Assist Branch Controller with all administrative processes including billing, contract administration, credit and collections and accounts payable.
Manage hardware quoting, ordering, tracking & RMAs
Serve as liaison with Human Resources department and Accounting department on related areas
Interface daily with all branch departments on an as needed basis, assisting the various administrative and operational functions
Ensuring compliance with Company policy and procedures.
College degree preferred or 2-5 years equivalent experience as an assistant in a sales organization or similar capacity
Salesforce.com experience a plus
Highly detail oriented with exceptional organizational skills
Proficiency in Microsoft office suite including, Excel and PowerPoint
Excellent written and oral communications skills
Ability to multitask and to prioritize multiple assignments with minimal direction, shifting rapidly among several open tasks as needed
Works well under time constraints and pressure situations, in an organized, efficient manner
Ability to get along with and communicate with many different types of people and enjoys working on variety of projects at the same time
