Job Description:

POSITION SUMMARY: Under the direction of the Vice President of Student Success sand Partnerships, this position is the major administrative support and front line staff for military, veterans', and military/veteran dependents educational benefits and services. The incumbent is responsible for day-to-day operations related to these services and other services provided by the Office of Student Development, including but not limited to updating and using department databases, correspondence, filing, communications, routine procedures and presentations. The incumbent represents the College and provides admissions information to prospective military/veteran students, their families, other prospective students, school guidance counselors and other constituents. The associate works with marketing and communications to support recruitment efforts. Local travel and travel between Quincy and Plymouth campuses as well as the Boston site required.

Primary duties include, but are not limited to:

Maintain a strong commitment to compliance by keeping current on all government regulatory requirements.

Administer all federal/military education benefits by collaborating with appropriate federal agencies, using various software systems; provide academic advising appropriate to each student's financial aid requirements; and maintaining and reporting all enrollment information and data including credit hours, clock hours, tuition/fees, and all changes in enrollment status for each student. (Military/veterans benefits include: Post 9/11 GI Bill, Montgomery GI Bill, Vocational Rehabilitation, Veterans Retraining Assistance Program, Military Spouses Career Advance Accounts, Dependents' Educational Assistance; Tuition Assistance, Selected Reserve Educational Assistance Program; Reserve Educational Assistance Program.)

Essential Functions:

  • Maintain a strong commitment to compliance by keeping current on all government regulatory requirements.

  • Manage the VA Work Study program and supervise on-site work study students.

  • Assist with recruitment of students from the military, veterans, and military/veteran dependent populations.

  • Assist prospective students with applying for education benefits and make appropriate referrals to government resources.

  • Establish relationships in the greater Quincy & Plymouth communities, e.g.; Recruiters, VFW posts, American Legion posts, Veteran Service Officers, etc.

  • Serve as academic advisor to all military/veteran applicants and students, ensuring that each student's course selection is appropriate for his/her academic program and his/her financial aid program..

  • Cultivate working relationships with VA and MA Dept. of Higher Education liaisons.

  • Collaborate with the offices of Marketing, Admissions, Advising, Financial Aid and Student Accounts regarding students' eligibility for, financing of, and payment for federal and state education benefits.

  • Stay up-to-date with changes in legislation that affect benefits for student veterans and/or College policies or procedures, and periodically review students' academic progress to ensure compliance with such changes.

  • Evaluate military transcripts for transfer credit.

  • Collaborate with college colleagues--faculty, tutors, disability support services, etc. -- to raise awareness/support for the veteran community.

  • Spearhead event planning throughout the year in recognition of pertinent holidays e.g., Veterans Day luncheon, Memorial Day project).

  • Assist with coordinating events and participate in training sessions to ensure accurate dissemination of information related to military/veteran students.

  • Promptly and courteously respond to phone calls, emails, and other requests from students, their families and other constituents;

  • Schedule appointments to meet with prospective and current students to provide information about the College and address their issues and concerns;

  • Assist in maintenance of records related to military/veterans students.

  • Assist with correspondence and publications (both incoming and outgoing), including but not limited to, catalogs, bulletins, acceptance letters and request for additional information;

  • Assist in all college functions, including but not limited to, orientations, open house, welcome sessions, commencement, honors Convivium, community and college meetings;

  • Participate in mandatory training/coursework, including but not limited to:

Title IX and Sexual Misconduct

Sexual Harassment and Non-Discrimination

Security Policy and Notification of Security Reporting

FERPA

Municipal Ethics Law

  • Assume other related duties as assigned.

Requirements:

Educational Criteria: AS/AA or Bachelor's Degree preferred.

Qualifications: This position requires the ability to provide quality customer service and maintain a high degree of professionalism. The incumbent must have experience with administering veterans support services in a higher education setting as well as experience with information technology and data management. The following competencies are essential to the position:

  • Excellent verbal and written communication skills are a must.

  • Proven competence in managing multiple tasks and completing priorities.

  • Demonstrated ability to function effectively in a fast paced work environment.

  • Demonstrated ability to build relationships with faculty, co-workers, students, parents and other staff.

  • Willingness to work evenings and weekends.

  • Understanding of and commitment to the mission, vision and strategic plan of Quincy College.

  • Computer and software competency required in Microsoft Office Operating Systems.

  • Demonstrated commitment to student success and enhancement of diversity.

SUPERVISORY RESPONSIBILITIES: Student employees.

TRAVEL: Must possess a valid driver's license and access to a vehicle. Occasional travel between the Quincy and Plymouth campuses as well as the Boston site. Travel to various college fairs is required.
