Title: Middle School Principal's Secretary

Department: Office

Immediate Supervisor: Principal

Job Goal: To assist administrators, counselors, teachers, support staff and students; and to maintain a functional, efficient and friendly environment for students, teachers and parents.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Public Relations/Communication: Prepare and type reports, letters, handbooks, forms, schedules, daily teacher bulletins, announcements, assist with newsletter.

  • Serves as personal and correspondence secretary for principal.

  • Assist with substitute report and staff attendance.

  • Assist with key control.

  • Keep school master calendar and assist in scheduling activities.

Discretionary Job Functions (assists on an as needed basis):

  • Assist with Accident reports.

  • Locker book maintenance.

  • Medication dispensing; maintain medication authorization files, and basic first aid.

  • Receive visitors and assist with telephones.

  • Assist with free and reduced lunch applications.

  • Supervise student phone.

  • Compile homework assignments as requested.

  • Maintains back-up on administrative computer systems.

  • Clerical duties as requested by the administration.

  • Sort and distribute inter-office and U.S. mail.

  • Compile weekly T.O.P.S. list.

  • Monitor students sent from class for discipline.

  • Compiling requested grade checks on students.

  • Maintain student insurance and accident report files.

  • Maintain long distance telephone records.

  • Copy machine maintenance.

  • Compiles OSSAA Eligibility.

  • Instructional fund requisitions, textbook orders and furniture orders.

  • Maintains school inventory.

  • Other duties may be assigned.

Length of Contract: Two hundred twenty (220) contract days.

Salary commensurate with experience on the negotiated agreement of the Support Employees of Edmond (SEE).

Evaluation: Performance of this job will be evaluated by the Principal in accordance with the provisions of the Board's policies, state law, and the negotiated agreement with the Support Employees of Edmond (SEE).

QUALIFICATION REQUIREMENTS:

EDUCATION AND/OR EXPERIENCE:

High School Diploma or General Education Degree (GED).

CERTIFICATES, LICENSES, REGISTRATIONS:

None required.

LANGUAGE SKILLS:

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups, staff, parents, and the general public.

MATHEMATICAL SKILLS:

Ability to plan budgets and use the mathematical skills required to do so. Maintain accurate records and support documentation for projects under the supervision of the position.

REASONING SKILLS:

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

OTHER SKILLS AND ABILITIES:

Ability to use computer and computer related programs and other technologies needed to perform essential job functions. Ability to apply knowledge of current research and theory. Ability to establish and maintain effective working relationships with students, staff, and the community. Ability to organize and chair or facilitate committees and meetings. Ability to communicate clearly and concisely both in oral and written form. Ability to perform duties with awareness of all district requirements and Board of Education policies.
