JOB SUMMARY

Assists in planning and execution of meetings and special events. Position assists in the implementation of departmental strategies. The position has responsibility for assisting in the execution of all property events with a seamless turnover from sales to operations and back to sales where appropriate.

CANDIDATE PROFILE

Education and Experience

  • High school diploma or GED; 2 years experience in the event management, food and beverage, sales and marketing, or related professional area.

OR

  • 2-year degree from an accredited university in Hotel and Restaurant Management, Hospitality, Business Administration, or related major; 1 year experience in the event management, food and beverage, sales and marketing, or related professional area.

CORE WORK ACTIVITIES

Assisting in Managing Meetings and Special Events Operations and Budgets

  • Researches and analyzes new products, pricing and services of competition.

  • Assists in apprising property of all groups that will impact property operations.

  • Assists in execution of event management strategy that is aligned with the company's business strategy and leads its execution.

  • Conducts daily walk-through of banquet floor to help ensure client satisfaction and quality standards.

Managing Profitability

  • Assists in developing working relationships with outside vendors and establishing prices and service agreements to enhance the event experience and to increase additional revenue opportunities for the property as needed.

  • Creates opportunities to upsell during event planning.

  • Assists in managing department controllable expenses to achieve or exceed budgeted goals.

Ensuring Exceptional Customer Service

  • Creates an atmosphere in all event management operations areas that meets or exceeds guest expectations.

  • Sets a positive example for guest relations.

  • Interacts with guests to obtain feedback on product quality and service levels.

  • Responds to and handles guest problems and complaints.

  • Empowers employees to provide excellent customer service.

  • Ensures employees understand expectations and parameters.

  • Strives to improve service performance.

  • Emphasizes guest satisfaction during all departmental meetings and focuses on continuous improvement.

VIEW JOBS 11/16/2018 12:00:00 AM 2019-02-14T00:00 Department: Communications Reports to: Senior Operations Manager Position Summary The Program Manager, Events and Special Projects is responsible for planning and coordinating a wide variety of Communications initiatives and department activities to advance PCORI's strategic vision and goals. The incumbent will assist the Senior Operations Manager in operational project management and administrative functions of the Communications department, ensuring efficient and effective daily operations. The primary responsibilities include management of PCORI's Annual Meeting, management and coordination of PCORI's communications activities at public-facing events, supervising support staff and interns, serving as an advisor and mentor to operations staff members, developing and maintaining efficient work processes for the Communications department, serving as a Communications liaison across PCORI departments and programs, and working with the Senior Operations Manager to assess Communications project management and operational support. The candidate should have strong organizational skills, strong Microsoft Office skills, outstanding verbal and written communication skills, and the desire and capability to perform as part of a team. Duties and Responsibilities: PCORI Annual Meeting * Manage the planning, coordination and implementation of the PCORI Annual Meeting, working closely with colleagues across the institution and external vendors. * Communicate with senior level colleagues, stakeholders and partners, including keynote speakers, moderators, session presenters, members of the Steering and Program committees, and PCORI leadership on both content and logistical matters. * Manage the Annual Meeting budget and resource allocation, and track expenditures against the budget. * Develop and maintain project plans with clear tasks and deadlines. * Communicate assigned tasks and deadlines to colleagues and provide support as needed to remain on track with the project plan. * Support the Director in developing communications to update senior leadership and all staff on major updates and progress on Annual Meeting planning. * Create and maintain key update documents for senior leadership and all staff to reference as needed. * Coordinate all communications-related activities for the Annual Meeting, serving as the liaison between communications staff, colleagues from other departments and external vendors. * Work in partnership with colleagues from PCORI's Meetings & Travel team to plan and execute meeting logistics. Other Events and Special Projects * Manage the planning and coordination of PCORI's presence at public-facing meetings where the Communications department has a key role or ownership, including Hill briefings, media events, professional meetings, and conferences. This includes coordinating event promotion, signage, other collateral, booth set-up and staffing. * Work closely with the Senior Operations Manager to plan and coordinate the day-to-day activities of the Communications department. * Develop and maintain a system of work processes and procedures. * Communicate effectively about project activities with all parties internal and external to the department. * Facilitate the efficient and effective tracking of project milestones. Assess and monitor risks and issues in the project operation and performance including effectively managing communications resources. Working with the Senior Operations Manager, assist in the development of mitigation plans for identified risks, and coordinate the redirection of communications resources in executing the mitigation plan. * Coordinate with various departments and programs across PCORI, including Engagement, Contracts, Operations, and Science to support a wide variety of Communications projects and initiatives. * Supervise and/or mentor support staff and interns.
