Ensures regulatory compliance with college funding sources and college administrative procedures. Assists development staff with pre-award activities and provides guidance regarding federal, state and local funding source's regulations.

Description of Job Function

1.Leads, coordinates, monitors, and tracks compliance efforts and effective grant management processes with project directors, administrators, grants management team and other College staff involved in grant projects.

2.Manages all assigned projects to ensure compliance with grant or contract requirements and monitors to ensure on-time achievement of deliverables. Provide assurances with compliance from the successful transition of grants from the time of award to closeout.

3.Reviews and interprets federal and State regulations, as well as, funding source program solicitations to ensure compliance to all of the requirements of the grant funds.

4.May assistance with grant applications and make recommendations to create a more competitive proposal that maintains the integrity of college resources.

5.Provides guidance to the evaluation process, both pre and post award.

6.Reviews grant proposal budgets prior to submission and assist or leads the negotiation process to ensure expenditures are linked to programmatic goals/objectives of the grant.

7.Coordinates, reviews, and assists project directors with the completion and submission of grant reports.

8.Leads the closeout efforts and maintains regulatory file copies of all grants.

9.Conducts quarterly meetings with project directors to review progress, address concerns and advise of necessary data needed to show impact of grants. Maintains records of meetings to ensure that all grant recordkeeping and reporting of requirements and restrictions are observed.

  1. Leads communication between funding source and College. Provides documentation and obtains approval of any change of scope or budget in grants. Provides administrative support to funded projects, including serving on post award committees.

  1. Supports the efforts of the Resource Development Office by participating in all aspects of resource development, including, but not limited to outreach, training, and reporting.

  1. Maintains open and regular communication with grant project directors, resource development staff, grants accounting staff, and other College staff to report progress toward meeting objectives and to address any grant management compliance issues.

  1. Provides grants management training sessions, including workshops, both face-to-face and in an online platform.

  1. Monitors progress toward meeting grant objectives; distributes copies of reports to appropriate administrators, the Internal Auditor, the Grants Accounting Director, and the Assistant Vice President, Resource Development.

  1. Submits monthly progress/summary reports to the Assistant Vice President, Resource Development.

  1. Identifies and promotes collaborative relationships with Student Affairs, Academic Affairs, Restricted Fund Accounting, and Provosts.

  1. Maintains current knowledge of related College policies and handbooks, and funding agency required documents; communicates relevant requirements to project directors and administrators, and makes recommendations to the resource development and finance offices regarding the College's grant policies and procedures. Attends training opportunities to remain current in compliance topics.

  1. Maintains the College's Grants Management Handbook and Resource Development Grants Management website to ensure up-to-date information is available for College staff.

Required Qualifications

Required Minimum Education Bachelor's Degree from a regionally accredited institution. Required Field of Study Other Required Qualifications

Grant management experience including starting and closing of grant projects.

Required License/Certification

Preferred Qualifications

Preferred Education & Field of Study

Master's degree from a regionally accredited institution.

Preferred Type of Experience

Experience maintaining highly detailed grant and contract files, including reporting and correspondence with funding sources and project directors.

Experience in working effectively as a team leader.

General Working Conditions

This job operates in a professional office environment and throughout the College's worksites and grounds. Within the professional office environment, the employee will routinely operate standard office equipment including but not limited to computers, keyboards, mouse, phones, photocopiers, printers, scanners, filing cabinets and fax machines. The noise level in the office work environment is usually quiet and occasionally moderate.

While operating outside of the office environment, the employee may be exposed to elements including but not limited to wet/humid weather, extreme temperatures, dirt, dust, fumes, smoke, and unpleasant odors. The role may also involve hazards or physical risks, which require comprehending and following basic safety precautions and may require Personal Protection Equipment. The noise level in the work environment is usually moderate and occasionally loud.

Typical physical competencies include but are not limited to remaining stationary, moving, ascending/descending, positioning self, reaching, lifting/moving objects weighing between 5-100 pounds. This job also entails frequently communicating, discerning and exchanging information, detecting and perceiving objects up close, at a distance, and the ability to adjust focus.
